Job Purpose: Greeting patients and visitors, answering inquiries in person and over the phone. Provide administrative and clerical support to the business owner. Maintain a professional work environment that provides optimal patient care.
Duties and Responsibilities:
- Welcomes patients and visitors to office, maintaining reception area, and cleaning treatment rooms and office. Updates and prints provider schedule each day. Maintains patient’s accounts by obtaining, recording, scanning photo, personal and financial information in system. Data entry into patient billing system, recording, verifying, and updating insurance. Record and collect patient payments, complete bank deposits and make bank runs.
- Sends and receive faxes. Ensures availability of treatment information by filing and retrieving patient records accurately in computer system. to ensure compliance with billing standards is maintained.
- Schedules appointments, keeps Practitioners patient schedule current and accurate in multiple scheduling systems.
- Orders and receives medical and office supplies. Maintains office inventory by checking stock to determine inventory level, anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of orders; scheduling equipment and services and repairs.
- Answers phones, taking messages and distributing accordingly, monitors incoming emails and answers or forwards as required.
- Maintains operations by following policies and procedures, reporting needed changes.
- Proficient in the use of computer applications, patient scheduling, and other medical information systems.
- Assist business owner with administrative functions.
- Contributes to team effort by accomplishing related results as needed.
- Trains new personnel as needed.
- May have other duties not described in this document, based on office needs and specific duties assigned by business owner.
- Duties involve this employee to have good listening skills and excellent verbal communication skills.
