What are the responsibilities and job description for the Office Administrator position at Confidential?
Our established, general practice Delaware County Law Firm is seeking a versatile office administrator/legal assistant to help manage our growing portfolio of business, real estate, estate planning and administration, criminal, family law and other matters. We enjoy a relatively small and collegial, family-friendly culture and an attractive and conveniently located office.
The successful candidate will perform the following essential functions:
- Support Managing Partner with various administrative and legal tasks;
- Interact with clients to gather information, screen and direct matters to appropriate attorney, provide updates on matter status, and maintain excellent client relations;
- Input and maintain all matter file data into legal practice management system and maintain organized paper and electronic client files;
- Oversee day-to-day office operations, including facility management, supplies procurement, and vendor relationships;
- Input billable time and generate, deliver and follow up on client invoices using practice management system;
- Review and ensure payment of incoming invoices;
- Coordinate with outside bookkeepers and IT consultant;
- Maintain office/attorney calendars and confirm appointments and meetings;
- Draft simple correspondence and prepare and process incoming and outgoing correspondence;
- Electronically file pleadings, motions and other legal documents; and
- Proofing attorneys’ correspondence and work product.

Our new hire must have: the ability to handle multiple priorities; the ability to work independently as well as in a team environment; ability to maintain strict confidentiality; strong organizational and time-management skills; proficiency with computers and Microsoft Word; proficiency in grammar and spelling; experience communicating directly with clients in a professional and courteous manner by phone and email; etc. Law firm experience is preferred but other professional office experience will be considered. We are looking for someone to be an integral part of our team with a focus on providing excellent client service.
Compensation: competitive; commensurate with experience
