About the role | The Operations Coordinator will actively support the Operations team on a day-to-day basis. The ideal candidate will be goal-oriented, a self-starter with excellent written and oral bi-lingual communication skills. SUMMARY/OBJECTIVE: The Operations Coordinatorwill actively support the Operations team on a day-to-day basis. The ideal candidate will be goal-oriented, a self-starter with excellent written and oral bi-lingual communication skills. We offer an exciting environment and are looking for a highly motivated and detail-oriented person with the ability to take on new challenges. The candidate will report directly to the Sr. VP of Client Relations and/or Department Heads and will not only handle the administrative and coordination of the daily tasks but is expected to own the operations process from front to end and execute constant follow-up on all stages in the completion of a task.
ESSENTIAL FUNCTIONS: Expected skills and competencies necessary to perform duties include but are not limited to:
- · Assist Managers in day-to-day coordination and management of business operational activities.
- -Responsible for staffing accounts with appropriate personnel and dispatching employees on a reoccurring basis
- · Liaise between customer and management to ensure smooth operations delivery. Monitor, control and manage business operations to meet customer expectations and company goals.
- · Coordinate and manage project tasks to ensure project delivery within allotted budget and timelines.
- · Ensure compliance with company standards and procedures.
- · Build and maintain strong customer relationship through regular meetings and communications.
- · Evaluate current operational performance and provide strategic plan for improvements.
- · Provide direction and guidance to internal teams to achieve performance targets.
- · Data Collection and Monthly Reporting
- · Managing of all sub-contracted signoffs monthly
- · Serving as a central HUB for the operations team; scheduling of new jobs, routing of drivers, closing the loop on open tickets
- · Identify problems in operations process and resolve them in quickly and timely manner.
- · Follow standard operating procedures for efficient business operations.
- · Maintain clear and accurate operations documents/procedures for reference purposes.
- · Assist in any ad-hoc duties, projects, field training, and other related activities as needed and when required
- · Assist with other operation related projects as needed
- · Review/Use ASANA (tasks management software) on a daily basis
- · Contributes to team effort by accomplishing related results as needed.
- · Other duties may be assigned.

Physical Demands: Will spend long hours sitting and using office equipment and computers, which can cause muscle strain. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.
Environmental Conditions: The incumbent is in a busy, open area office. The incumbent is faced with constant interruptions and must meet with others on a regular basis.
Sensory Demands: The incumbent must spend long hours in intense concentration. The incumbent must also spend long hours on the computer entering information which requires attention to detail and high levels of accuracy.
Mental Demands: There are several deadlines associated with this position, which may cause significant stress.
