The Payroll Manager is solely responsible for the accurate delivery of semi- monthly payroll services including updating employee information, time and attendance, garnishments, deductions, taxes, recordkeeping, auditing, accounting reconciliation, and reporting. This role is also responsible for the implementation of payroll systems for all new acquisitions. The individual performs all activities related to multi-organization, multi-state payrolls using payroll system ensuring compliance with federal and state regulations.
** After training is complete this will be a hybrid role in the office and remote.
Responsibilities
- Responsible for the preparation and processing of the semi-monthly payroll for all employees using current payroll system
- Provides continuous process improvement within the payroll function
- Ensure timely and accurate calculation of approved timesheets, deductions, taxes, etc.
- Create, review, and approve pay calculations with respect to all new hires, terminations, pay changes, etc. as well as, any updates to payroll records for tax withholding, benefit deductions, 401(k) changes and direct deposit changes
· Process any benefits/onboarding tasks and other related changes
· Coordinates and registers the set up and maintenance of new state and local municipalities for reporting requirements
- First point of contact for any questions pertaining to time off balances as well as any questions regarding employees' pay
· Reconcile weekly contribution of employee and matching employer portion of individual retirement accounts. Input changes in payroll system as they occur
- Prepares and maintains standard and ad hoc reports by compiling information from various payroll and HR systems
- Work with payroll provider regarding year-end processes including W-2s and 1095C documents
- Ensure year -end documents are distributed and are completed
- Maintain digital employee files in the payroll system and payroll guidelines
- Responsible for the payroll implementation/integration of all newly acquired companies
- Provide the payroll company reports, data and analytics to set up newly acquired companies
- Migration of the acquired company payroll processes into the DIT systems
- Complies with federal, state, and local legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
- Maintains employee confidence and protects payroll operations by keeping information confidential
· Work with the accounting team on payroll GL data
· Independently maintain payroll platform records, including employee, customer, department, region and etc.
· Able to work and assist the Accounting and HR teams to produce documentations around payroll, and to maintain necessary records
· Will be the primary expert user of our payroll platform and understand the system and processes. Need to be able to provide recommendations around system configurations or process walk-arounds, as the company plans to make any changes
· Provide analysis of payroll date reporting to the accounting team
· Assist with documents needed for any payroll related audits
- Serves as resource and liaison to the accounting function in the area of payroll data reporting and analytics
- Current knowledge of applicable state and federal wage and hour laws
· Provides critical thinking regarding payroll procedure improvements
- Performs other duties as assigned
Education and Experience
- Minimum of three plus years of payroll processing experience with experience working in payroll platforms such as: ADP, Paycom, Paylocity, Ultipro etc.
- Associates or Bachelor Degree in related field is helpful
Knowledge, Skills, and Abilities
- Experience processing payroll for multi-state and multi-company organizations is required
- Experience transmitting and processing payroll for mid-size company is required
