Job Description

Job Title: Property Supervisor

Division: Resorts

Reports To: Property Manager

FLSA Status: Non- Exempt

Summary: The Rental/Resort Property Supervisor leads all aspects of the resort/property under the Resort umbrella. They are responsible for continually focusing on owner and guest satisfaction as well as implementing our standards through employee training, retention, and loyalty. The Property Supervisor will perform as an assistant to the Rental Manager and Regional Manager.

Essential Duties and Responsibilities include however are not limited to the following and in addition to any request by the Owners, the Senior Vice President, and the Regional Manager of Resorts.

Owner Relations

  • Execute Owners Agreement.
  • Property assessment & recommendations
  • Establish market and seasonal rental rates
  • Add property into Aronov accounting and reservations system.
  • Add professional photos to the website as needed
  • Create property description and add to website
  • Do Annual evaluation of all units and report to owner.
  • Monitor and respond to all reviews in a timely fashion.
  • Build owner loyalty through proactive communication, setting and managing expectations and delivering solid revenue results.
  • Represent Aronov values in all decisions.
  • Produce all Owners statements and letter on the 1st of every month for the prior month.
  • Correct all financial errors in the accounting system prior to EOM and on an ongoing basis.
  • Perform a minimum of one outgoing call per quarter to every current owner on the program to keep owners updated on their unit and community happenings and changes.
  • Communicate regularly through the portal and email with all owners.

Rental Management Services/Assure Compliance Daily:

  • Accept reservations, generate rental agreement and update availability calendar.
  • Facilitation of guest check-in and guest check-out procedures.
  • Provide 24/7 service & support for guests and property owners.
  • Inspect to ensure thorough cleaning in preparation of new guest arrivals.
  • Liaison with housekeeping & laundry services vendor
  • Enforcement of all rental rules and regulations.
  • Guest problem resolution
  • Ensure that property is maintained to high standards.
  • Conduct inspections and inventory upon guest check-out.
  • Respond to all guest inquiries and requests in a timely manner.
  • Collect rents, deposits and fees associated with property rental.
  • Manage and track all rental guests’ information.
  • Collect and pay sales and lodging taxes associated with the rental of the property.
  • Report to the proper channels when gaining and loosing a unit.

Human Resources and Employee Relations

  • Exemplifies Companies core values.
  • Must be a hands-on team player. Lead by example and enliven the core values and standards of the Company. Must represent Company inside and outside of the Resort in a positive professional manner.
  • Keep all employee information including however not limited to pay-rates, commissions, and incentives confidential.
  • Maintain high professional standards of personal appearance and grooming as well as enforcing the dress code mandated by Aronov.
  • Schedules need to be completed by the Property Supervisor and approved by the Rental Manager trying to honor requests however all schedules are based on the needs of the resort, owners, and staffing needs. As a manager you must be flexible with your schedule and there are times where extra hours are needed to complete the job.
  • Ensure all training in service standards is taking place in every department on an on=going basis
  • Assist in creating a positive team-oriented environment which focuses on the guest, through employee development and motivation.
  • Ensure that employees are always attentive, friendly, courteous and efficient in their interactions with guest, owners and other associates always.
  • Recognize and reward outstanding performance of team members.
  • Enlivens and monitors the Red Book daily.
  • Assure Orientation check list is followed for all new hires and turned in with new hire paperwork.
  • Provides proper training agenda for all new hires.
  • Human Resources not limited to however including coaching and counseling, documentation, new hire paperwork, annual reviews, training, and scheduling.
  • Interview all prospective candidates for any position before and offer is to be extended.
  • Motivate, Coach Council and discipline all associates within the standards and guidelines of the Fair Act and Aronov handbook.
  • Ensure that all State employment guidelines are being followed and that employees receive fair and equitable treatment according to the EEOC.
  • Complete all training modules and become certifies to train those as required.

Financial and Administrative and Sales

  • Meet all administrative due dates, weekly meetings, and anything that the corporate office request from the Rental Manager or property. Management of overall day-to-day operations as well as the cleanliness and organization of all work areas.
  • Approve all timesheets and do payroll to turn into the Division Head to approve every other Thursday.
  • Assist in all payroll corrections for all associates by going through the paymaster in a timely fashion.
  • Ensure completion of all invoices weekly in Escapia and Avid by using A/P process provided by Aronov Accounting.
  • Play a pivotal role in recruiting new owners and new units to add to the property management portfolio.
  • Meet clients on the property, including meeting potential clients (Owners) touring the property to assist them in understanding the Aronov on-site rental program. Partnering with local Realtors is expected to assist in the recruiting process.
  • Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary. Must be able to understand and evaluate complex information, data, etc. from various sources to meet appropriate objectives.
  • Basic Windows knowledge and Microsoft Office. Familiarity of website data and ability to update information on website and managing reviews.

Additional Operational Expectations

  • Demonstrates exceptional leadership behaviors. Makes sound rational decisions and empowers and encourages associates to make decisions. Develop the guest problem resolution team for your property.
  • monthly audits of the MSDS binder on site and assure all housekeeping complies.
  • Assure all OSHA standards and CDC mandates and Fire Marshall regulations are being followed and the property is complying
  • Responsible for executing the Operational Excellence plan in their resort and for all units on the Aronov Rental program.
  • Comfortable leading by example, including hands-on task management

  • Able to multitask and simultaneously manage multiple opportunities and priorities. Inspect Units regularly (weekly minimum) with both the Housekeeping Quality Control Supervisor and the Maintenance Engineer.
  • Anything else that the Rental Manager, Senior Vice President and or the Regional Manager requests.

Education and/or Experience
