Job Overview:

We are an accounting/ bookkeeping firm seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide essential support to our office operations and ensure efficient day-to-day functioning.

This is a part-time position with regular office hours.

Duties:

- Answer and direct phone calls using a multi-line phone system

- Greet and assist visitors at the front desk

- Perform general clerical tasks, such as photocopying, scanning, and filing documents

- Maintain office supplies inventory and place orders as needed

- Assist with event planning and coordination

- Assist with errands, and grocery shopping

- Transcribe meeting minutes and other important documents

- Manage calendars and schedule appointments

- Provide administrative support to various departments as needed

Experience:

- Bilingual -Spanish is a must

- Previous experience as Personal Assistant or in an administrative role preferred

- Proficient in using phone systems and handling multiple calls simultaneously

- Strong clerical skills with attention to detail

- Excellent phone etiquette and customer service skills

- Familiarity with front desk operations and office procedures

- Ability to transcribe accurately and efficiently

- Experience in calendar management and scheduling appointments

- Computer literacy, including proficiency in Microsoft Office Suite, Quickbooks is a plus

Pay: $12.00 - $18.00 per hour

Expected hours: 10 – 25 per week

  • Monday to Friday
  • Morning shift

Education:

  • High school or equivalent (Required)

Experience:

  • Customer service: 1 year (Required)

  • Spanish (Preferred)
