The Opportunity.
Immediate opportunity for a dynamic payroll administrator committed to consistently providing exceptional customer service to join our team. Responsible for accurately and efficiently administering and processing multi-jurisdictional payroll and working collaboratively with the payroll team and partnering with the overall HR team. This is an experienced, administrative position reporting to the Payroll Manager.
Essential Duties & Responsibilities.
- Process multi-jurisdiction, bi-weekly payroll with third party vendor (ADP) and ensure pre-payroll processing tasks are accurate and complete
- Process special payrolls as needed
- Coordinate with group timekeepers to ensure weekly timecards are accurate and complete
- Obtain and maintain SIT, SUI, and local payroll tax accounts and associated compliance for growing business
- Maintain reports, filing, and payments for worker’s compensation programs in monopolistic states
- Maintain payroll processing system and Deltek Vision to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions
- Accurate and timely data entry for new hires, terminations, and changes to rates of pay
- Coordinate with accounting staff on prevailing wage processing, compliance, and certified payroll statements
- Verify employee benefit (medical, dental, vision, life, disability, 401k, etc.) elections for deduction in ADP
- Track and update leave of absence status
- Identify government reporting regulations impacting payroll and maintain compliance with federal, state, and local payroll, wage, and hour laws and best practices
- Coordinate with ADP regarding updates or issues with the payroll system
- Provide personnel and payroll reports for management as needed
- Process employee terminations from systems (ADP, Deltek Vision, benefit carriers, COBRA, etc.) and reconcile final pay, benefits, and payment of accrued PTO
- Collect and analyze information to deliver prompt and accurate resolution of issues
- Collaborate with HR generalists and coordinators as needed to ensure processes are completed accurately and employee questions and issues related to payroll are addressed and resolved in a timely manner
- Maintain employee confidence in payroll operations by processing information accurately and maintaining confidentiality
- Other duties as may be assigned
Required Credentials.
- Bachelor’s degree in business, finance, accounting, or related field preferred; high school diploma or equivalent required
- 3 years of experience in payroll administration for multi-state operations
- Strong experience in California prevailing wage processing and compliance reporting
- Intermediate accounting skills for accurate reconciliation
- Advanced proficiency with payroll systems (ADP) and Microsoft Office applications, including Excel, and web applications such as benefit carrier, state, and local tax agency sites, etc.
- Strong customer service skills to facilitate positive interactions with employees and management
- Reliability in attendance, proactive, diligent attention to detail, and accurate data entry is required
- Ability to multitask with proven organizational and time management skills
- Experience adhering to internal control processes, use of judgment and analytical skills to resolve issues as they arise, and ability to work independently, set priorities, and meet deadlines
- Discreet with the ability to appropriately manage confidential information and sensitive situations
Additional Preferred Qualifications.
- Working knowledge of Deltek Vision preferred
