Summary

The Service Writer provides administrative support to the Service Dept. by providing customer service, tracking repairs and their causes, and scheduling technicians. The Service Writer is involved in developing cost estimates and tracking service/work orders and parts requests.

Essential Functions:

1. Answer phones & provide customer service.
2. Open, close and file work orders
3. Update & maintain backlog of current work orders & labor
4. Keep techs updated on current work order information
5. Compile notes from techs & type into work orders to be legible for viewing
6. Prepping of work orders (invoices)
7. Make travel arrangements for techs & management including: flights for multiple destinations, vehicle rentals & hotel reservations
8. Print & read through WIP (work in process) report
9. Issue credits
10. Inventory & order shop office supplies
11. Create requests for expense checks; reconcile expense reports; post expenses, local purchases, travel & service charges to work orders.
12. Roll documents for end of month & end of year closing
13. Calculate and code all timecards
14. Entering shop labor into Flyntlok & Paylocity
15. Keeping track of Davis Bacon jobs/prepping paperwork
16. Keep files for leave request & paid vacation time
17. Keep up with labor analysis report
18. Other duties as assigned

Education and Experience

1. High School Diploma
2. Two years’ administrative experience

Physical Requirements

This is largely a sedentary role, requiring use of typical office equipment such as a computer, laptop and cell phone. Most work is completed in an office environment. The employee will be required to stand, walk, bend and will occasionally lift up to 25 lbs.

Schedule:

• 8-hour shift
• Monday to Friday, weekend rotation
• On call
