Overview
The primary purpose of this position is to manage and lead a team at Cook Medical EUDC GmbH in 52499 Baesweiler, consisting of distribution support and warehouse staff responsible for the timely and high quality preparation and shipment of orders to wholesalers in the sales area. The position holder will be responsible for working closely and professionally with the European Customer Service Centre, Customs authorities, the local Chamber of Commerce and Industry, freight forwarders and parcel service providers and wholesalers. The position holder is responsible for ensuring legal compliance in all commercial and foreign trade transactions, reporting to the Cook Medical EUDC GmbH Branch Manager.
Responsibilities
- Responsible for the preparation of business and quality management instructions and regular compliance checks.
- Responsible for the compliance of safety and health in the department, close cooperation with the relevant technical department.
- Provide technical and human resource management of staff in the Distribution Support and Warehouse Shipping departments for wholesalers and other Cook branches, preparing and updating job descriptions and participation in staff selection procedures.
- Support and represent the management team in the warehouse, gradually gaining further process knowledge in the warehouse.
- Responsible for the on-time dispatch and target setting in the departments, for setting and meeting KPIs in the administration and warehouse, controlling them and regular reporting (Statistics, analyses and reports).
- Responsible for full compliance with legal and commercial trade and export regulations, as well as internal business rules and QMS procedures applicable to all distributor supply transactions handled in the department.
- Responsibility for assigned customer complaints and appropriate corrective and preventive action (CAPA) and root cause determination.
- Assist in the compliant execution of returns and all imports.
- Continuous knowledge enhancement and proactive acquisition of updated legal require-ments affecting the area of responsibility through self-study and regular participation in relevant customs and foreign trade training.
- Responsible for organising and conducting regular training of distribution support staff and warehouse workers and conducting regular performance appraisals with them.
- Responsible for the proper maintenance and storage of records in accordance with relevant legal requirements and adherence to deadlines.
- Responsible for the preparation and processing of customs and shipping documents and customs declarations.
- Responsible for communicating with customer service and dealing with queries in a timely manner.
- Monitoring the performance of freight forwarders, following up on daily business transactions, creating SOPs, leading meetings and supporting tenders.
- Regularly review and approve relevant invoices.
- Ensure that all suppliers are registered in the quality management system and are regularly assessed and evaluated.
- Communicate with the Chamber of Commerce and the Customs Office as the company's official customs officer. Prepare and participate in customs audits. Permanent maintenance of the status of Authorised Economic Operator (AEO).
- Support of projects as a technical expert, including documentation or acceptance tests, participation in project meetings. Support the configuration, testing and validation of the warehouse management system and related subsystems.
- Responsibility for compliance with ISO 13485 quality standard and Cook QMS system and ensuring correct reporting and handling of non-conformities.
- Provide administrative and organisational support to the EMEA DC Management.
- Actively support the implementation of the Cook vision, master plan and annual business plans.
- Actively support the implementation of Cook's mission statement, establishing and maintaining strong links within the company and with the community.
- Ensure that the Cook Values and Code of Conduct are reflected in all business transactions carried out on behalf of Cook.
Qualifications
- Bachelor's degree or completed commercial training and several years of relevant professional experience in the field of export, as well as proof of relevant further training.
- Several years of experience in the cooperation of forwarding agencies and parcel service providers.
- Experience in cooperation with customs, preparation of customs declarations with ATLAS, customs clearance, certificate of origin and applying for letters of credit.
- Strong sense of responsibility and conscientious way of working
- Good communication and interpersonal skills
- Fluency in German and English is a necessary requirement for this position
- Good computer skills, including proficiency in Microsoft® Office.
