Scan Team Operator Cooley is seeking a Scan team Operator to join the Information Services team. Position Summary: The Scan Team Operator is responsible for providing Information Governance support and compliance in conformity with the firm's Policies and Procedures. This role requires the substantive skills and professional maturity to operate independently with minimal guidance from Information Governance Managers. Specific duties include, but are not limited to, the following: Position Responsibilities: Facilitates the scanning and destruction of records across all offices Keeps track of scanning metrics to mitigate bottlenecks and identify workflow issues Work with vendors to address and fix issues related to imaging Conduct audits related to the production of the scan initiative Make changes to Scan Initiative Standard Operating Procedure as necessary Performs file organization duties including QC, file creation and assembly, classification, indexing, quality control and retention and storage activities. Archives files into offsite storage when appropriate. Modifies data (i.e., status, location, titles, disposition, etc.) in the electronic records management system as appropriate. Provides assistance to other Information Governance functional teams as needed Perform tasks associated with scanning of incoming and outgoing electronic and physical files, including lateral and departing attorney, scheduling preparation, data entry, and reconciliation of inventory. Understand all aspects of the records policy and procedures and be able to articulate relative obligations to Firm stakeholders and personnel. All others duties as assigned or required. Skills & Experience: Required: High School diploma or equivalent. Ability to operate technology devices with an understanding of their respective core systems and software. After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office Suite and other Cooley applications, as needed. Experience working in a professional office environment. Willingness to maintain continuing education and training specific to professional skills development commensurate with Information Governance industry and responsibilities of position. Must be reliable, punctual, and available to work overtime as needed. 10 years’ work experience in a records, information management or related capacity. Preferred: Degree from accredited college/university. Experience and proficiency with one or more RMS (e.g., HP/Autonomy IRM, ARM or FileSurf, LegalKey, etc.) and/or DMS (e.g., Filesite, Docs Open, etc.) enterprise technology systems used for the management of physical and/or electronic information. Experience with an Imaging platform and /or production scanning environment in a legal setting Success Factors: Ability to work electronically with information (PDF’s, Text, Images, etc.) Ability to do repetitive tasks including reaching and stooping as well as sorting (alphabetically and numerically), applying labels, data entry, etc. Ability to comprehend and implement complex directions. Ability to maintain attention to detail within an environment of multiple, overlapping demands. Acquire and maintain a thorough and comprehensive understanding of Firm policies and procedures relative to records and content management (paper and electronic). Coordinate and collaborate with IG and Firm personnel to ensure that records and content (paper and electronic) are properly designated for firm repositories. Ability to adapt to and comprehend the evolving IG framework and associated technologies. Strong communication and organizational skills: analytical, detail oriented and methodical with the ability to adapt to shifting priorities. Ability to work well under pressure within a deadline-driven environment. Must be extremely service and detail-oriented. Possess a professional, cooperative and respectful demeanor, and the ability to work with all levels of employees. Exceptional customer service skills. Ability to take an assignment from inception to satisfactory completion with minimal supervision. Must be able to demonstrate teamwork, add value, and work well in a team environment with shifting priorities and significant interruptions. Capacity to reach forward to a high of 48 inches, to a low of 15 inches, to the side 54 inches and to the low side 9 inches above the floor. Ability to lift and/or move up to 40 pounds. Ability to make/retrieve copies from various copy and fax machines. Ability to use a hand truck, book cart, step stool, mobile ladders, and mobile file shelving. Work Environment: While performing the duties of this job, the employee may be exposed to various components of an office environment such as florescent lighting, pollen, dust, recycled air, VDTs, semi-enclosed areas, central heating and air conditioning and office noise.
