Job Overview:
Proposal Specialist help develop and submit marketing proposals by providing administrative assistance to Sales Operations Manager. They use MS Office & SAP processing systems to create presentations, prepare work plans, and organize proposal content and prioritize assignments. They work with marketing and business personnel and oversee proposal development, including ensuring they keep with company standards.Proposal Specialist also ensure documents facilitate a proposal review process and guide production in the final draft. They often utilize word processing, data processing, and industry-specific software programs to edit and finalize materials.
Proposal Specialist will cross train with Inside Sales to help from beginning to end of the ordering process.
Essential Duties and Responsibilities:
Participate in handover of successful proposals to the project team.
Provide regular updates to management, operations, and support staff regarding the proposal process.
Oversee the proposal projects, coordinating team efforts assignments and ensuring all timelines are met.
Ensure the quality and compliance of final proposal documents.
Contribute to assigned process improvement initiatives and support implementation.
Coordinate development of pricing sections with the executive team as appropriate.
Review and analyze RFP documents to ensure adequate information for budget and proposal preparation is provided.
Ensure the control of the bidding costs for the assigned bids.
Provide input to other cross-functional departments pertaining to prospect requests.
Develop and share best practices with team members to enhance quality and efficiency.
Ensure that the proposal is free of grammar, spelling, and typographical errors.
Preparation of high quality and accurate documents in accordance with agreed strategy and sponsor expectations under the pressure of changing timelines.
Cross training with the Inside Sales to be able to help from beginning to end of ordering process
Assist the Account Managers and Management with DSO efforts of invoices
Addressing and resolving customer complaints
Ensure sales, finance and legal policies and procedures are met
Build an open-communication environment
Other tasks as assigned or directed
Required Qualifications:
Bachelor’s degree from an accredited university or college preferred in English, Communications, Business or Marketing.
Demonstrated 3 - 5 years of experience is often acceptable in place of formal education.
May have non-degree credentials or certification
Minimum 7 years of Oil & Gas Industry experience
Advanced familiarity with RFI/RFP/RFQ processes and procedures for consistency and clarity, compliance with RFP/RFI/RFQ requirements and align proposed solutions and themes
Editing and templating competencies.
Strong command of English language and Excellent verbal and written communication skills.
Time management, and critical thinking skills.
Ability to work effectively in a rapidly changing environment with multiple deadlines
Knowledge of combustion, emissions, and performance standards of reciprocating engines preferred
Ability to develop strong interpersonal relationships with customers.
Proficient with Microsoft Office Products (Excel, Outlook, PowerPoint, etc.)

Ability to maintain sensitive and confidential information as required by government standards
