Administrative Assistant
Family Access and Connection Team (FACT) within the Family Support Center (FSC)
Rochester, NY – On-Site
FULL-TIME
Nonexempt : 40hrs per week
Coordinated Care Services Inc (CCSI) is currently seeking a talented and motivated Administrative Assistant to join their team. As the Administrative Assistant, you will be working in an environment that embraces community connectedness, collaboration, and excellence in customer service. The Family Support Center includes the Family Access and Connection Team (FACT), Youth and Family Partnership (YFP) and Family Voice. The Administrative Assistant contributes to the FSC by delivering exceptional customer service and support to staff, families and other visitors. This position provides administrative/clerical support and data support to these programs.
CCSI is partnering with Monroe County Department of Human Services to hire an Administrative Assistant. This position is employed by CCSI and working on behalf of Monroe County.
In this role you will
- Support data gathering for program planning
- Maintain data systems in numerous databases
- Create data tracking systems by leveraging existing tools such as Excel.
- Assist with data entry and utilize web-based reporting system (Salesforce) for data collection, analysis and reporting.
- Order supplies and maintain supply room, ensuring all items are readily available.
- Review and process invoices for program services.
- Assist in screening job applicants; set up interviews for new hire candidates.
- Create/write miscellaneous documents and complete correspondence (mailings, copying, faxing, etc.) as requested.
- Record and disseminate minutes from meetings as assigned.
- Ensure office machines are in working order and scheduled maintenance is completed.
- Assist with data entry and utilize web-based reporting system (Salesforce) for data collection, analysis and reporting.
- Collect, organize, and file confidential department records.
- Take meeting minutes, make room reservations, and provide staff support as needed.
- Provide support for community trainings held at FACT (reserve room, arrange refreshments, set up technology equipment, greet attendees, etc.).
- Maintain clean and welcoming reception area; ensure that resources for families (housing opportunities, bus schedules, job opportunities, etc.) are provided in concert with family partners.
- Assist with transportation and interpreting services for families.
- Enhance performance through active participation in team meetings, training opportunities, and supervision.
- Conducting other duties as assigned.
Requirements
- Bachelor’s degree, or High school diploma/GED plus 5 years related work experience, or equivalent education and work experience (see CCSI's equivalency chart).

- Satisfactory completion of all required background screenings.

Staff working directly with protected health information /electronically stored protected health information, personally identifiable information, and other patient/consumer/customer data, will abide by the specific procedures and policies outlined by CCSI’s Code of Conduct and CCSI’s Privacy and Security Policies, New York State regulations and Federal regulations.
