LOCATION: Corban University’s 220 acre campus is situated on a hillside forest setting overlooking the Willamette Valley, just minutes from the heart of Salem, Oregon’s capital city. The rugged coast awaits only an hour’s drive to the west. To the east is the mountainous Cascade Range. Portland, the state’s largest city, is less than an hour away and is home to cultural museums, parks, shopping, and restaurants.

POSITION SUMMARY: The University Registrar plays a critical role in the University and Academic operations by effectively managing the maintenance and integrity of all student academic records, the approved curriculum, the creation and maintenance of course schedules, university academic catalogs, graduation, all areas of student registration and the recording and reporting of grades, compliance with FERPA regulations, and the establishment and maintenance of processes for the equitable and consistent administration of policies and procedures as they relate to registration and academic record keeping. The University Registrar must provide strong leadership consistent with the academic goals and mission of the institution. The Registrar must create and maintain collaborative working relationships with institutional leadership, faculty, and staff and support Corban University programs and policies as established by federal, state, administrative, and academic entities.

ESSENTIAL FUNCTIONS:

  • Administrative responsibilities include:
    • Managing the day-to-day administrative operation of the Registrar’s Office including workflow, specific projects, and personnel
    • Responsible for beginning and end of term processing in Populi (building of terms and sessions, closure of terms)
    • Build course schedule, classroom assignment, final exam scheduling, grade processing
    • Setting the academic calendar (approved by Academic Council)
    • Builds, edits and follows compliance and university policy for annual Academic Catalog
    • Final approval of degree audits for graduating candidates
    • Posting of degrees for all students that have met the academic requirements
    • Managing student issues:
      • Oversee responses to student petitions
      • Academic actions: integrity, probation, suspension and dismissals proces
    • Manage building and maintenance of Populi and all related training for faculty, students and staff
    • Liaison with connective departments and within Registrar’s office
    • Communication with students, faculty and staff
    • Enforces the provision of the Family Education Rights and Privacy Act (FERPA)
    • Establishes and maintains all processes for the equitable and consistent administration of policies and procedures as they relate to registration and academic record keeping
    • Responsible for the interpretation, compliance, revision, and development of all Academic Policy pertaining to Corban University.
  • Oversees registrar office responsibilities:
    • Oversees Student Information Records for all Undergrad, Online, Grad and Post-Grad Students
      • Responsible for maintaining the integrity and accuracy of academic records through student information system (Populi)
      • Transcript issuance and all student record and student enrollment verification requests, communication to students, staff and faculty
      • Enrollment and degree reporting to National Student Clearinghouse
    • Oversees Transcript Evaluators and Grad Audit Systems
      • Oversees all operations in the transfer credit process and prior learning credit process for all prospective and admitted students (evaluation of transcripts, posting of credit, processing and building of transfer credit in TES and Populi)
      • Grad Audit process
    • Oversees all International Student records for UPH programs and Corban Language Institute
      • Maintenance and build of UPH Populi along with academic processes and policies
      • Build and scheduling of CLI courses along with academic processes and policies
    • Oversees the academic benefits for all Veterans
      • Certification of enrollment for veterans
      • Communication of policies and processes to veterans
  • Events
    • Oversight of Grad Finale, Commencement and Convocation processes
    • Lead for Commencement (works with Corban University event director in coordinating logistical responsibilities of other departments for this event)
      • Responsible for order of program, scripts, works directly with Provost and President’s office on Commencement responsibilities
  • Administrative Involvement including:
    • Academic Council
    • Academic Leadership Group
    • Admission’s Committee
    • Enrollment Department Director’s Meeting
    • Faculty meetings
    • Provost Table
    • Retention Committee
  • Supervise personnel including hiring, daily supervision, and evaluation of:
    • Student Support Specialist
    • Data Support Specialist
    • Operations Specialist, VA Certifying Official
  • Professional Involvement
    • AACRAO
    • PACRAO
    • ORACRAO
  • Other duties as assigned by Provost


KNOWLEDGE, SKILLS AND ABILITIES:

LEADERSHIP SKILLS: Possess the desire and ability to work independently yet still recognize the need to communicate and work with other individuals and departments. Must be able to build teams, work with other teams in the University, and rally others to accomplish tasks and projects critical to the institutional mission. Must also possess strong interpersonal skills which would be demonstrated by the ability to work well with a variety of people on an individual basis.

COMPUTER SKILLS: Must have a high level of skills with MS Office programs including MS Word and Excel. Must also possess the understanding of student information systems and how they can be utilized to their fullest potential. Must be able to develop efficient and effective processes utilizing the computer systems resulting in accurate information being entered, stored, and disseminated.

REASONING ABILITY: Ability to define problems, collect data, establish facts and draw valid conclusions; interpret a variety of instructions, some technical in nature. They must be solution oriented and desire to serve students, staff and faculty in a variety of ways. The consistent application of academic policy is essential in this role. A strong working knowledge of Corban academic policies is required as well.

LANGUAGE SKILLS: Strong written and verbal communications skills. The individual must have the ability to respond professionally to common inquiries or complaints from students, parents, alumni, or members of the education and business community.

QUALIFICATIONS AND REQUIREMENTS:

Bachelor’s Degree required; Master’s degree preferred (or equivalency of 10 years of work experience in the higher education field). Evidence of strong leadership and administrative skills. At least five years of experience in a higher education environment required.

WORKING CONDITIONS: Occasional weekend and evening hours are required to support registrar office operational responsibilities as well as the event of commencement.
