POSITION DESCRIPTION
CORE - Center of Relational Empowerment, PC is a dynamic group psychotherapy practice looking for a full-time Administrative Assistant to join our team! We have two locations: downtown Chicago location: 30 N. Michigan Ave, Suite 1320, and downtown Evanston: 820 Davis St. Suite 455. (Flexibility to work at both offices required) The position would require 35-40 hours per week on-site. Pay is competitive (based on experience).
Performs a variety of administrative functions and tasks. A certain degree of creativity and latitude is required. Knowledge of insurance in the psychotherapy world is a plus! Works under general supervision of CORE owners and collaborates with staff when needed.

CORE’s Chicago location is located in the loop across from Millennium Park! Our office is easily accessible by trains and busses (including both CTA and Metra). Our space is newly constructed and is equipped with a waiting room, individual offices, a kitchen, a coffee bar (for clients and staff), and a large group room (for group therapy, training, and meetings). Discounted Parking available through the building at Millennium Garage and Grant Park North garage.

DUTIES AND RESPONSIBILITIES:
1. Gives information to prospective clients who call and completes calls to insurance for benefit information and for resolving insurance claim issues.
2. Planning and supporting onsite and offsite meetings, events, supporting team as needed.
3. Generates reports for monthly payroll, handles multiple projects, and prepares and monitors invoices and expense reports in QuickBooks.
4. Orders and/or picks up offices supplies.
5. Supports CORE owners with social media marketing through creating posts and content.
6. Participate in both weekly and monthly meetings.
7. Troubleshoot computers and assist with updates as required.
8. Ensure operation of offices by completing preventive maintenance requirements and calling for repairs.
9. Maintain various databases to assist with the organization and management of client referrals, staff birthdays, and metrics.
MINIMUM QUALIFICATIONS:
1. Bachelor's Degree or higher and 2-3 years of experience in the field of psychology or related field experience.
2. Familiar with standard concepts, practices, and procedures within the field of psychology or medical practice.
3. Proficient in Microsoft Office and Google Workspace.
4. Demonstrated experience and ability to work as part of a highly cohesive and collaborative group of colleagues.
5. Relies on experience and judgment to plan and accomplish goals.
6. Ability to multitask and organize a wide range of projects.
7. Flexibility and ability to shift gears.
8. Project Management and Time Management skills
9. Strong verbal and written communication skills
PREFERRED QUALIFICATIONS (NOT REQUIRED):
1. Familiarity with insurance claims and billing procedures for outpatient mental health.
2. Access to a car (for picking up supplies as needed)
3. Degree in Psychology, Sociology, or another related field
