The Travel Clerk, RSDC schedules and confirms travel arrangements for RSDC employees during deployments and for RSDC management for business-related travel. Assists with distribution of travel itineraries and answers questions regarding travel arrangements and/or accommodations. Provides clerical support to RSDC travel management staff.
- The incumbent should be able to perform all of the following functions at a pace and level of performance consistent with the job performance requirements.
- Schedules and confirms travel arrangements for RSDC employees during deployments and for RSDC management for business-related travel. Assists with distribution of travel itineraries and answers questions regarding travel arrangements and/or accommodations.
- Creates electronic travel profiles for newly hired staff. Collects and enters information into the travel system and verifies that accounts are set up as required. Coordinates with FSC Accounts Payable department to ensure that documents are completed accurately for travel expense processing.
- Maintains and updates deployment teams' rosters and travel information. Ensures that rosters and travel schedules are accurate.
- Receives and reviews data from vendor service providers. Verifies accuracy of data and enters information into internal software applications for RSDC management review.
- Communicates changes to upcoming deployments and travel arrangements to RSDC management, facility management and external vendors to allow for timely and appropriate resolution.
- Assists with travel issues while staff are traveling. Works with vendor service providers to make revisions to travel arrangements due cancellations and/or delays. Provides updated information to RSDC management to ensure timely communication to deployment teams.
- Notifies appropriate internal and external stakeholders of staff terminations for closure of travel accounts.
- Domestic U.S. travel may be required.
Qualifications:
- High School diploma, GED certification or equivalent.
- Two years of experience in full-time clerical, secretarial or administrative work is required.
- Additional qualifying education at an accredited college, university or technical institute in office administration may be substituted for the required experience on a year-for-year basis, up to one year.
- Must demonstrate familiarity with the practices, principles and policies of travel management.
- Must have excellent organizational, problem-solving, and verbal and written communication skills.
- Proficiency in Microsoft Office applications is required.
- Must be 21 years old or older.
