Cortica is seeking a Contract Scheduling Specialist to join our expanding multi-disciplinary team.
As a Senior Contract Scheduling Specialist at Cortica, you'll play a central role in strengthening and supporting our scheduling operations. This is a vital role as we partner with other organizations to offer our model of care at Cortica. You will not only contribute to our initiative to provide best care for our clients but also in coordination of filling our providers schedules efficiently. Simultaneously, you will harness your collaborative skills to maintain a fruitful relationship with our contract partners. Your input will be crucial in creating and maintaining robust Standard Operating Procedures (SOPs) and workflows to ensure best practice for all with our contract scheduling needs.
What will you do?
- Dynamic Scheduling: Develop, manage, and coordinate care schedules across sites for specific contract needs in ABA and DT. Handle appointment cancellations, arrange for alternate coverage, and manage make-up sessions following Scheduling best practices.
- Team Augmentation: Enhance the efficiency of the scheduling team by providing support where needed, including during team member absences for our current team of contract schedulers.
- Collaboration: This role is vital in ensuring efficient workflows are followed and aligned for best practice while filling the needs of our Contract partners. Collaboration efforts will also be needed with our clinical team leaders and site scheduling supervisors.
- SOP Development & Maintenance: Design, implement, and regularly update SOPs for all scheduling processes to ensure consistency and accuracy, keeping up with evolving processes, guidelines, or software changes.
- Performance Monitoring & Compliance Checks: Regularly assess team performance and the effectiveness of training programs, making necessary modifications. Confirm compliance with SOPs across the team, addressing non-compliance through targeted training.
- Adaptability: Foster a solution-oriented outlook when presented with varying levels of change.
- Fostering Relationships: Serves as a point of contact for maintaining positive relationships with partner contract representatives. Must navigate and understand escalation of complex service requests.
- Multitasking: Showcase your ability to multitask effectively and pivot between priorities, ensuring all tasks are handled promptly and accurately.
- Project Handling: Demonstrate your proactive nature by undertaking various projects as required, particularly those with tight and urgent timelines.
- Travel: Be prepared to travel between centers as needed, further extending your support and expertise across our scheduling operations.
- Maintain Flexibility: This position may require working outside of normal business hours to meet project deadlines or address urgent matters. The ability to maintain a flexible schedule and be responsive to the organization's needs is essential.

We’d love to hear from you if:
- Bachelor’s Degree preferred.
- 4 years’ scheduling experience in ABA services .
- You are customer service oriented –friendly, cheerful, and helpful to clients and others while following Cortica policies and procedures.
- Strong understanding of scheduling principles and best practices with a commitment to continuous learning and improvement
- Strong problem-solving skills with the ability to serve as a point of escalation, provide guidance, and recommend corrective actions to address challenges
- Outstanding communication skills, with the ability to liaise effectively with different teams within the organization and provide clear and concise information to team members

The base pay range for this opening is $27.00 to $30.00. According to your skill level, relevant experience, education level, and location, you will receive compensation that fits appropriately within the range.
