FINANCE AND ADMINISTRATION ASSISTANT

The Council for Christian Colleges & Universities (CCCU) is a small but growing Christian non-profit organization headquartered in Washington, DC. We are seeking to expand our capacity by adding a highly organized and detail-oriented Finance and Administration Assistant a basic knowledge general accounting and bookkeeping practices is a plus. This position will report to and serve as administrative support for the Senior Vice President, Chief Financial Officer as well as assist with the day-to-day tasks of our small finance and administration team.

We are a global organization made up of 40 employees located in 5 countries (United States, United Kingdom, Jordan, Australia and Costa Rica). This position is in our Washington, DC headquarters. We have an ambitious mission and are expanding our team. A successful candidate must be an activator, a problem solver, and have the ability to deal with and prioritize many, sometimes competing tasks.

COVID-19 and Work Note: The CCCU DC Headquarters is open 5 days a week. Staff can work up to 2 days remotely with approval of their supervisor. Candidates must be able to work effectively in both an in-person and virtual environment. CCCU employees are required to adhere and agree to follow certain guidelines and procedures to ensure a safe and healthy environment. Vaccinations are strongly encouraged (but not mandated).

Core Responsibilities:
Administrative Assistant Support:
Primary function is to provide general administrative support to the Senior Vice President, Chief Financial Officer including but not limited to:

  • Manage the senior vice president’s daily email:
    • Review email and bring to attention important correspondence
    • Write email drafts for the senior vice president’s review and direct response
  • Manage the scheduling of meetings
  • Arrange travel, as needed
  • Prepare monthly credit card report
  • Prepare check requests as needed
  • Assist with preparations for Board and Finance Committee meetings
  • Organize and file documents
General Administration and Member Services:
  • Create and maintain a master list of finance and administrative projects and recurring tasks and deadlines to help keep projects on schedule and ensure on time completion
  • Create and manage a schedule for insurance renewal processes and lead the gathering of documentation for renewal applications
  • Assist with the coordination of the CFO commission and the CCCU’s insurance consortium
  • Administer and assist with the planning, communication and collection of member financial statements for the annual financial analysis report including the composite financial index (CFI project)
  • Help maintain data and assist with data entry queries on the CCCU’s database system (iMIS)
  • Serve as back up for the Administrative Receptionist and Facilities Assistant to provide coverage of the front desk and reception area in his/her absence
Finance and Accounting Administrative Support:
  • Provide administrative support to Controller as needed
  • Support month-end and year-end closure processes
  • Assist with the management of Accounts Payable including maintaining vendor files and researching payables information as necessary
  • Assist with processing employee reimbursements and visa card reports in Concur
  • Research and resolve stale dated outstanding checks
  • Process and account for cash and check deposits on a weekly basis
  • Assist with annual audit and tax information requests as needed
Human Resources Support:
  • Assist in the comprehensive hiring process, including post jobs, applicant tracking and communication, coordinating interviews, conducting background checks, and assisting with onboarding
  • Assist hiring managers with the recruitment and applicant management tool (Applicant Stack)
  • Help compile and maintain accurate paper and electronic employee records while maintaining data integrity and confidentiality
  • Administer, compile and track quarterly and annual human resources projects and activities, such as leave trackers, 90-day and annual performance review evaluations, worker's comp audit, annual benefits open enrollment, etc
  • Answer frequently asked questions from applicants and employees related to standard policies, benefits, hiring process, etc. Refer more complex questions to Human Resources Manager or supervisor
  • Research projects related to human resources compliance, benefits and other pertinent information
Other duties as assigned by supervisor.


Persons applying for the position should:

  • Have a strong appreciation for the Christian mission and purpose of the CCCU and its GlobalEd programs
  • Affirm the Nicene creed
  • Have 1-3 years of proven experience in administrative support
  • Be detail-oriented, highly organized and flexible
  • Be able to effective communicate in a professional, diplomatic, empathetic, and tactful manner
  • Possess the ability to respond promptly and courteously to all questions, demonstrating patience and persistence to get a resolution
  • Be a problem solver
  • Be able to handle confidential information and maintain confidentiality
  • Be a motivated, self-starter who can work independently and collaboratively
  • Excellent time management skills and the ability to prioritize work
  • Must be proficient and experienced in using the Microsoft Suite of products including Office, Word, Excel, OneNote, and Teams
  • Experience working in databases (iMIS preferred)
  • Be a learner
  • Be an activator
  • Have a good sense of humor
