Overview

The Administrative Assistant, Executive Office will work as part of the Executive Office team, providing support to CFR’s president and Executive Assistant, as well as additional support to the Chief Administrative Officer and the Board Secretary. Qualified candidates will have related experience that required judgment, strong writing and editing ability, the ability to prioritize, and experience dealing with high profile individuals. This role will primarily be onsite in the New York office. 

The major responsibilities of this position will include (but are not limited to):

  • Providing support to the president and the executive assistant in matters including calendar maintenance, invitations, travel schedules, billing, and document management
  • Supporting the Executive Office staff on administrative matters, including scheduling, answering telephones, responding to requests for information, and interacting with other Council departments
  • Assisting in the planning of three Board of Directors meetings each year, including preparation of background materials, liaising with directors’ offices, and assisting with meeting minutes
  • Planning meetings of various committees of the CFR Board of Directors (e.g., Finance, Audit) including preparing materials, taking notes, and summarizing the meetings in minutes
  • Coordinating CFR’s annual Board of Directors election, including candidate background research, preparing materials, and managing voting tool.
  • Creating and managing the Executive Office’s annual budget
  • Assisting the Chief Administrative Officer, the chief of staff, and the members of the Executive Office staff as needed for invoicing and special projects

Qualifications

  • Bachelor of Arts, with high academic credentials; interest in and knowledge of current foreign policy issues
  • Two or more years of related administrative experience; preferably in a high-profile organization. Corporate experience preferred
  • Excellent writing, editing, and proofreading skills
  • Outstanding written and verbal communication skills
  • Outstanding professional judgment and demeanor
  • Proficiency in word processing, Excel, and database management
  • Strong attention to detail and accuracy
  • Proven ability to work in a fast-paced environment, both independently and as part of a team
  • Proven ability to multitask and prioritize multiple tasks on deadline

 

Pay Range

$55,000 to $65,000 per year

Pay commensurate with experience and education
