Under direction, to serve as primary coordinator, managing, directing, and supervising  a variety of legal, administrative, and office support functions for an assigned county department; to perform administrative, staff, fiscal, legal support, and office management duties; to perform difficult, complex, and specialized office and fiscal support information gathering, information preparation, and public relations assignments; and to do related work as required.  
 
DISTINGUISHING CHARACTERISTICS
This is a specialized, administrative support Legal Office Coordinator classification.  Incumbents direct and provide a variety of legal support, administrative, staff, and office management functions for an assigned County department.  They report directly to a department head or designee.  Successful performance of responsibilities requires detailed and specialized knowledge of the operations and policies of the department where assigned.
 
REPORTS TO
An assigned county department head or assistant department head or designee.
 
CLASSIFICATIONS SUPERVISED
This is a full supervisory class supervising office and legal support classifications such as Administrative Support Assistant I and II, Legal Secretary, and Senior Legal Secretary, and Victim/Witness Advocate I and II. 

Serves as primary administrative staff support for a county department head in a department with substantial legal functions;  plans, organizes, coordinates, and supervises a variety of legal, administrative, and office support functions; provides supervision, training, and work evaluations for assigned personnel; assists with the development and administration of the department budget; monitors expenditures and initiates budget transfers; directs the preparation and prepares a variety of mandated and financial reports; reviews and processes vendor claims; directs the preparation and prepares reimbursement claims for other government agencies; assists with the selection of new staff and directs and reviews their actions; receives and transmits documents from courts, monitors development and accuracy of legal documents for submission to the courts and use in legal and other agencies; directs a variety of legal support functions; may do research in the development of citations for cases;  prepares purchasing documents and facilitates purchasing procedures; gathers, organizes, and summarizes a variety of data and information; performs special projects and prepares reports; prepares correspondence and informational materials;  prepares agenda materials for meetings; operates computers, maintaining and updating files and databases and using on-line information systems; generates computer reports; performs word processing; represents the department  in a variety of situations as delegated.

  • County and department policies, rules, and regulations.
  • Laws, rules, and regulations affecting the assigned department's or unit's operations and programs.
  • Legal terminology, documents, and procedures.
  • Modern office management methods and procedures.
  • Budget development and control.
  • Public and community relations.
  • Purchasing methods and procedures.
  • Account and statistical record keeping.
  • Proper English usage, spelling, grammar, and punctuation.
  • Personal computers and software applications related to legal and administrative support work, including specialized systems used in an assigned area.
  • Principles of supervision, training, and employee evaluation.

Desired Skills:

  • Plan, organize, coordinate and perform a wide variety of complex and specialized legal and administrative support work for an assigned department or unit.
  • Interpret, explain, and apply a variety of county, department and unit policies, rules, and regulations.
  • Provide supervision, training, and work evaluations for assigned staff.
  • Work with considerable independence and initiative while exercising good judgment in recognizing scope of authority.
  • Gather, organize, analyze, and present a variety of data and information.
  • Provide support for maintenance and control of a department or unit budget.
  • Direct the preparation and prepare clear, concise, and accurate records and reports.
  • Prepare public relations and informational material.
  • Take and transcribe notes of dictation.
  • Use a personal computer at 45 corrected wpm or more and use software for word processing, legal, and administrative support work and work with specialized computer systems.
  • Deal tactfully and courteously with the public, representatives of other agencies, and other county staff when explaining the functions and policies of the department where assigned.
  • Establish and maintain cooperative working relationships.

Training and Experience:

Any combination of training or experience that would provide the knowledge and skills to successfully perform the listed duties is qualifying.  A typical way, but not required, to obtain the required knowledge and skills would be:

 -At least five years of responsible work experience performing a variety of legal, administrative and office support work, including substantial experience in a public contact  position, preferably including experience in a lead or supervisory capacity.

TYPICAL PHYSICAL REQUIREMENTS
Sit for extended periods; frequently stand and walk;  normal manual dexterity and eye-hand coordination; lift and move objects weighing up to 25 pounds; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, calculator, copiers, and FAX.
 
TYPICAL WORKING CONDITIONS
Work is performed in an office environment;  continuous contact with other staff and the public.
