About the Role
The Executive Administrator/Reception provides administrative support to the senior leadership team. This position is expected to perform administrative tasks focusing on calendar management, completing expense reports, preparing correspondence, managing travel plans/itineraries, meeting agendas/notes, and recordkeeping. This role should have a high level of confidentiality and time management skills. This is a high-impact role for this client. The success of this role will have a material impact on our business and the future growth of the company.
What You'll Do
- Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
- Maintain comprehensive and accurate records
- Perform minor accounting duties
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
- Answering phone calls in a polite and professional manner
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
- Act as the point of contact between the executives and internal/external clients
- Undertake the tasks of receiving calls, take messages and routing correspondence
- Maintain diary, arrange meetings and appointments and provide reminders
- Make travel arrangements
- Monitor office supplies and research advantageous deals or suppliers
- Produce reports, presentations and briefs
- Develop and carry out an efficient documentation and filing system
What You'll Need
- High school Diploma
- At least 2 year of office administration experience
- Exceptional oral and written communication skills
- Interpersonal skills using tact, patience, and courtesy
- Strong computer skills including software systems and office equipment
- Strong organizational and problem-solving skills and proactive workstyle
- Strong multi-tasking and prioritization skills
- Experience at a logistics firm
