Position: Group Booking Coordinator
Reports To: Chief Operating Officer / Director of Education
Summary: Responsible for selling the Center’s group products and programs. Execute reservations, invoicing and database management functions required for effective implementation in the Education Department. Assist the Program Coordinator in all assigned functions.
Duties and Responsibilities
Include, but are not limited to the following:
1. Responsible for all data entry and computer maintenance of Center reservations and rentals.
2. Serve as contact for Center group visits and applicable programs.
3. Maintain accounts receivable by accurate invoicing and collections.
4. Ensure customer inquiries are responded to and/or handled in a timely fashion.
5.Prepare and update various reports as necessary.
6. Provide weekly calendar to all departments listing all Center programs and activities, both on and off premises.
7. Perform all room rental transactions within the Center.
8. Coordinate all mailing functions relating to education.
9. Responsible for creating, updating and maintaining all information in VISTA.
10. Coordinate accurate passage of pertinent information to front desk.
11. Assists Program Coordinator in creating and maintaining computerized reports for the Education Department utilizing VISTA, spreadsheet and word processing.
12. Develop knowledge of contacts to the Center to assist in educational relations and activities.
13. Provide secretarial support to all members of the Education Department on all their related projects, including, but not limited to: correspondence, grants, publication copy, proofing, list generation, and mail merges - ensuring all documents are generated in a professional looking and accurate format.
14. Handle responsibilities as assigned for special educational events, both at the Center and at other venues.
15. Assist in front desk functions as necessary.
16. Adheres to the policies and procedures of the Center.
17. Other duties as required to fulfill the duties of the position.
Qualifications
1. Five (5) years of clerical experience.
2.Demonstrated ability with word processing/computers/office equipment, record-keeping and data-base management.
3.Excellent oral and interpersonal communication skills; ability to maintain effective communication among staff and outside the Center, including good telephone manners and face-to-face skills.
4. Able to handle multiple, often simultaneous, deadlines.
5.Tact, courtesy, enthusiasm and good judgment.
