BASIC PURPOSE
The Executive Assistant provides administrative support and assistance to the executive staff.
ORGANIZATIONAL SCOPE
Reports to: Managing Director
Direct Reports: None
ESSENTIAL FUNCTIONS
Duties include:
Manage and maintain executives’ schedules, appointments and travel arrangements
Liaise with internal staff in scheduling client meetings
Prepare and edit correspondence, communications, presentations and other documents
Answer and manage incoming calls
Monitor, screen, respond to and distribute incoming email/communications
Arrange and coordinate firm and client meetings and events
Maintain filing system and contacts
Receive and interact with clients
Handle registrations and tickets for events
Ability and flexibility to effectively work remotely and onsite as needed
OTHER RESPONSIBILITIES
The Executive Assistant handles personal requests on an as needed basis and assist with the annual holiday card mailing.
MINIMUM REQUIREMENTS
At least 5 years of experience providing support at a high level
High School Diploma
Advanced training/degree desired
Knowledge of standard office administrative practices and procedures
Proficient computer skills and in-depth knowledge of relevant software such as MC Office Suite
Attention to detail and high level of accuracy
Excellent written communication skills, including grammar, punctuation, formatting and spelling
