We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. This person will spend a significant amount of time on the phone and on live chats with our customers and vendors. They will also be assisting management with special projects from time to time. They will be using the computer for data entry of orders and software program entries.
Responsibilities
- Answer and direct phone calls
- Organize and schedule appointments
- Retrieve mail daily and deliver appropriately amongst the company.
- Waters plants and keeps reception area safe and organized.
- Respond to incoming emails with excellent communication skills
- Assist in the preparation of regularly scheduled reports
- Manage all incoming tickets from our web portals and help desk software. This included answering all tickets in your responsibility and delegating others to the appropriate departments. Responsible for ensuring all tickets have been handled in a timely manner.
- Enter client data and orders into Trello for delegation to appropriate departments.
- Assists shipping department with communication to customers regarding lead time and shipping information.
- Assists finance with follow-up of accounts payable and accounts receivable on a daily basis.
- Order office supplies and research new deals and suppliers
- Book travel arrangements
- Provide general support to visitors
- Act as the point of contact for internal and external clients
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and Google Suite of programs
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Job Type: Full-time
Pay: $14.00 - $21.00 per hour
