Dallas Eye and Ear is a private practice ENT/Audiology multisensory, medical office in Dallas, TX. We are seeking a bilingual clinical support assistant who has high standards and is effective in building relationships with patients, patient relatives and co-workers.
Duties:
- Coordinating and tracking outgoing referrals in eClinical Works for each day of clinic
- Sending any relevant clinical information to diagnostic testing facilities
- Scheduling pickups for specimens
- Follow up with diagnostic testing centers to check scheduling status on outgoing referrals
- Sending messages to Dr. Gilmore for patients who have not completed recommended testing
- Put together warning letters for non-compliant patients and mailing via standard and certified mail
- Calling patients or sending notifications to schedule annual hearing tests and appointments
- Fulfills clerical responsibilities as assigned that may include sending/receiving patient medical records; obtaining diagnostic lab or imaging reports, hospital notes, PCP notes, referral information, etc.; managing and updating EMR prior to patient being scheduled
- Answers telephone calls in a professional manner, assists callers and/or routes the calls appropriately
- Performs a thorough phone screening of the reason patients require an appointment to ensure they are scheduled correctly / timely
- Create telephone encounters in eClinical Works to send messages to clinic staff on behalf of patients
- Process voicemails by returning patient calls for scheduling or sending telephone encounters
- Maintains detailed knowledge of the practice schedule - how far providers are booked at each location; documenting reasons patients would be scheduled abnormally
- Notifying patients of alternative payments and collecting on patients balances
- When special needs arise, appropriately escalate issues outside of existing protocols to meet the needs of the patient

Experience, Education, and Qualifications:
- High school diploma or equivalent
- Minimum of one year's experience in patient care (specialist experience a plus)
- Bilingual (Spanish and English)
- Experience working with EMR systems
- Insurance verification Required
Hours:
- Full Time; 8:00am – 5:00pm Monday through Friday
