Requirements
Position Summary
The Dispatcher will be responsible for flight planning in compliance with all rules and
regulations of state of operator and states were conducting operations, assisting in daily flight
operations and tasks. Under general direction, of the Operations Manager and Director of Flight
Planning will maximize domestic and international trip support service. Will also be responsible
for providing in the moment solutions to create a noticeably better experience for the guests and crew. The ideal candidate will be patient and be able to redirect a negative experience into a positive conversation with a courteous and calm tone while making others feel valued and heard.
Essential Duties & Responsibilities
- Works effectively with the flight crews assigned to Craft flights to ensure that safety, compliance and customer service opportunities are successfully orchestrated.
- Provides day-to-day support to Operations Manager and Director of Flight Planning in all duties related to the Operations Department implementation of safe, expeditious, and economic Operational Control.
- Monitors for flight diversions / irregular operational concerns and effectively escalate to supervisory staff as necessary.
- Coordinates with internal teams regarding flight feasibility, operational concerns, weather & performance, scheduling and availability.
- Provides prompt and concise communications to internal teams with respect to all flight management including itinerary updates, flight delays and weather updates.
- Coordinates and arranges flight permits, Gendec, E-APIS, landing rights, Customs notifications inbound/outbound.
- Coordinates aircraft handling with FBOs to include arrangements for fuel releases, hangar, after hours services or other services as needed to include but not limited to airport slots, customs, and border overflight requests.
- Updates Flight Operating System with information related to flight logs, FBO selection and notifications, FBO pricing updates, fuel price uploads, trip tasks, and operational entries as required.
- Ensures aircraft, crew and passengers have all necessary equipment, documents, visas and any other entry requirements by concerned states/regions.
- Performs flight planning and filing with all applicable ATC agencies, uplink to aircraft, with PIC concurrence.
- Collates/reviews/delivers WX, NOTAM, PIREPs, Enroute and Airport Info to flight crew in accordance with FOM Ops Specs.
- Performs trip feasibility checks and ensures that all airports and routes are operationally suitable and meet company requirements
- Sets up ground handling, in accordance with client preference, appropriate facilities (weight restrictions, parking, aircraft servicing, hangarage, etc.), and economical and efficient ground handling.
- Obtains all overflight/landing permits, and slots, in accordance with all regulations in an expeditious and economic manner.
- Performs flight following/monitoring/timely relay of movement messages.
- Coordinates trips with all relevant authorities, i.e. customs, immigrations, airport and civil/military authorities.
- Ensures fuel is being arranged and fuel releases are relayed in a timely manner.
- Prepares/disseminates complete flight briefings for flight crew.
- Advises ops manager, sales/charter, flight crew of all flight operations restrictions.
- Assists in maintaining international compliance with fleet updates and monthly reports to EASA, Eurocontrol, NavCanada, SENEAM and all other concerned foreign agencies.
- Stays current on all applicable NOTAMs, FARs, AIP, ICAO Recommended Practices and Procedures and the regulations of each State of operations.
- Maintains knowledge of aeronautical navigation systems, charts, airspace, air traffic control, aircraft performance, AFM, MEL, aeronautical communications, and publications and maintains a current operations library to exercise Operational Control/Flight Control of Company flight operations (Operational Control Manager).
- Performs other duties as assigned by Director/Managers.
Skills, Education and Work Experience Requirements
- FAA Aircraft Dispatcher certificate (or ICAO equivalent) required
- Background in private aviation operations with a focus on customer service, preferred
- Aviation Management Degree, preferred Knowledge of Part 91 and 135 FARs
- Ability to effectively think outside-the-box to promote solutions that increase efficiency and utility for a growing fleet of Aircraft.
- Ability to thrive in stressful situations
- Must be a team player with flexibility to perform different roles and assist others when necessary.
- Ability to synthesize, prioritize and precisely execute multiple tasks under time constraints in a dynamic environment with constantly shifting priorities.
- Respond quickly, professionally, and accurately to all internal and external correspondence
- Excellent interpersonal, verbal, and written communication skills
- Proficient computer skills
- Ability to forge trusted relationships with internal and external customers
- Highly detail oriented with excellent organizational skills
Other Requirements:
- Valid state driver s license and at least 18 years of age
- Pass FAA Drug and Alcohol testing, background checks
- Must be available to work flexible hours, including weekends, when required
