Position Overview

The Assistant Construction Admin  will aid the Contracts Manager by overseeing and managing the entire process surrounding  Equal Employer Opportunity  and the Equitable Business Opportunity compliance for construction projects. This includes but is not limited to managing MassDOT compliance and certified payroll maintenance.

 

Key responsibilities (essential duties & functions) 

· Pulls certified payroll & saves in assigned folders

· Sends out certified payroll to re, town, gc’s

· Enters certified payroll weekly into ebo website for mhd contracts

· Obtains certified payroll from subcontractors weekly

· Checks to make sure subs are entering they’re payroll into ebo website

· Enters employees into ebo website for the mhd contract they’re working on

· Runs eeo % reports for on mhd contracts to make sure pjk is meeting requirements weekly, sends to subs

· Requests eeo requirments from subs

· Submits forms to massdot for trainee approval

· Enters trainee into ebo website

· Submits to massdot staging area permits requests

· Uploads the employee utilization report to ebo website

· Certified payroll/eeo – communicates to subs, collects, etc

· Job cost moves

· Set up all one notes for all projects – massdot, city, towns

· All other duties as assigned

 

 

Skills & Specifications

  • Display a professional and courteous attitude to co-workers, supervisors, and public always. 
  • Ability to interact with sub-contractors, other employees, and different levels of management. 
  • Good working knowledge of Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). 
  • Basic accounting knowledge.
  • Comfortable working with several different software’s (e.g., ViewPoint, EBO, OnBase, Proactis, B2W, etc.)
  • Developed analytical and problem-solving abilities.
  • Excellent interpersonal skills.
  • Excellent written and verbal skills, strong interpersonal skills and ability to diplomatically handle challenging situations.
  • Self-motivation and ability to work with minimal supervision.
  • Must be able to work in a fast-paced and high stress environment in a team orientated atmosphere. 
  • Priority emphasis and strong time management skills.
  • Ability to speak effectively to customers or employees of organization.
  • Expertise with Microsoft Office Suite, particularly Excel, PowerPoint and Word.

 

Education/Professional Experience

  • B.A. Degree, or equivalent education and/or experience.
  • Previous construction or contract experience preferred.
