Administrative Operations Coordinator (HYBRID)– Bloomingdale, IL
$50,000-$57,000 /annually bonus

We are looking for a pro-active, motivated, and highly organized professional to function as our Administrative Operations Coordinator. This position requires a critical thinker with an eye for detail and the ability to work in a dynamic, fast-paced environment.
The ideal candidate will be ready to provide service at a moment’s notice, stay calm under pressure and handle multiple projects fluidly. Relationship building and schedule management will be a priority and excellent communication skills are a must.
Administrative Operations Coordinator Responsibilities:
- Coordinate with customers and communicate with employees to satisfy client needs
- Assist the facility manager with maintaining quality business relationships with customers and vendors
- Coordinate with freight forwarding agencies and vendors to ensure accuracy and timely deliveries
- Maintain product orders in SAP and track order deliveries
- Monitor timeframes for reordering inventory
- Accommodate any order changes or cancellations
- Submit allocations to the appropriate departments
- Responsible for timely billing, processing /tracking purchase orders, and maintaining inventory reports
- Work closely with departments such as credit, operations, and logistics to coordinate customer needs
- General clerical duties including maintaining organized files, answering client calls, and ordering materials as required
- Other miscellaneous duties as assigned
Administrative Operations Coordinator Requirements:
- Required – Experience in an industrial setting (manufacturer, distributor, or supplier)
- 2 -3 years of experience in an office environment
- High School Diploma or equivalent
- Excellent verbal and written communication skills
- Superb organizational skills and strong attention to detail
- Ability to maintain composure under pressure and effectively deal with a wide array of people
- Proficiency with MS Office and other business-related software, SAP preferred
