As the largest homeless services organization in the state, Crossroads Rhode Island understands that stable housing is both the only way to end homelessness and the most cost effective intervention. We are currently seeking an enthusiastic and committed individual to join our team as a Program Administrative Assistant.
The primary responsibilities of this role will be to perform basic administrative duties such as answering phones and emails, filing, and managing schedules, while also assisting in oversight and special projects as necessary.
Duties and Responsibilities:
- Answer and direct phone calls and respond to emails
- Develop/maintain a filing system and file documents
- Make copies/scan documents fax/documents as directed
- Produce and distribute correspondence memos, letters, faxes and forms
- Create flyers, newsletters and brochures as directed
- Compile and send bulk mailings
- Maintain physical and computerized office records
- Order office supplies as needed
- Distribute interoffice mail to staff as needed
- Communicate with team members to ensure maximum efficiency
- Schedule and organize meetings/events and maintain agenda
- Assist in the preparation of regularly scheduled reports
- Maintain office calendars and send out reminders of impending appointments
- Organize and schedule meetings and appointments
- Maintain contact lists
- Run miscellaneous errands for staff
- Attend staff meetings and takes minutes
- Help create presentations, summaries and helping materials to ensure better communication and company-wide understanding of the program
- Make reservations for off-site business meetings
- Assist in planning and overseeing routine or special events
- Reserve conference rooms and equipment for in-office meetings
- Ensure technology is used correctly for all operations (video conferencing, presentations etc.)
- Acts as liaison between different departments
Experience and Education:
- High school graduate or equivalent.
- Associate’s Degree in Business or a related field is preferred.
- Non-profit experience preferred
- Demonstrated administrative assistant experience and/or office management supporting multiple teams preferred

Work Environment
- The majority of time will be spent in a temperature-controlled office setting
- Some overtime may be required
- Some light local travel to run errands may also be required
- Moderate physical activity such as walking, standing, and light lifting is involved in many daily activities
