Position Summary
The Program Assistant is an entry-level position within Public Programs, in the Learning & Engagement Division. It involves a high degree of public and volunteer contact and provides support to educators, artists, and presenters. This position will focus on administrative tasks to support the Public Programs Department across CBMO, including supply management, classroom organization, attendance tracking, and setup and facilitation for a variety of public programs. These programs include, but are not limited to, studio classes, drop-in artmaking, lectures and talks, family events, large programs at CB and Mo, and our drop-in space, “The Studio,” as well as other programs to be determined by the Director of Public Programs.
This person reports to the Director of Public Programs and works in close collaboration with the Public Program team, as well as with Learning & Engagement division colleagues, artists, performers, presenters, CBMO staff, volunteers, and community partners. Many programs are delivered in the evenings and on weekends, so the ability to work at those times is required.

Principal Responsibilities
- Work with the members of the Learning & Engagement Administration and Operations team for facility needs, resources, volunteers, and supplies for programs.
- Ensure that the department calendar, Asana projects, and other planning applications are kept accurate and up to date.
- Effectively communicate and work with the Public Programs team for setup needs on programs.
- Provide facilitation at public programs, including setup, cleanup, ticket-taking, basic artmaking, and supply management, and serve as a liaison for contracted instructors, artists, and presenters.
- Assist the Director of Public Programs with administrative tasks as needed.
- Good customer service skills
- Ability to work independently, as well as within a team
- Ability and willingness to work weekends, evenings and holidays as required
- A good sense of humor and a calm demeanor under pressure
- Planning and organizational skills
- Good verbal and written communication skills
- Ability to use or willingness to learn Microsoft Office applications, Asana, and other as determined necessary.
- Bilingual (Spanish language) is a plus
- High School diploma or GED certificate required.
- Bachelor’s degree in art education, art history, museum studies or studio art or related field preferred but not required.

- Physical demands: Regularly, while performing the duties of this job, the employee is required to travel independently regionally and in communities served. In the work environment described below, position requires working at a desk and utilizing a computer and a telephone, good eye/hand coordination, bending and stretching, standing and sitting in the ability to move around galleries, the classrooms, and throughout CBMO, including travel on the outdoor trails. Visual acuity to review written materials is required for this job.
- Work environment: Work will be performed in an office environment, CBMO galleries, art studios, outdoors on the trails, and in communities served. Some evening and weekend hours are required. While performing the duties of this job, the employee is exposed to weather conditions prevalent at the time. The noise level in the CBMO work environment is usually low to moderate
