What are the responsibilities and job description for the Business Operations Assistant position at CS3?

The Business Operations Assistant will perform various office duties which require knowledge of office systems and procedures. This will be a utility role with a focus in accounts payable but will also provide support in multiple area such as payroll, contracts administration, and sales tax administration.

  • Reviews invoices for appropriate documentation and approval prior to payment
  • Prints and obtains signatures on all accounts payable checks
  • Assists with monthly closings
  • Reconciling vendor statements
  • Prepares analysis of accounts, as required
  • Entering weekly timesheets for payroll
  • Help in processing payroll
  • Union report administration
  • Assist in subcontract purchase orders
  • Assist in monthly contract billings and applications for payment
  • Monthly sales tax reporting
  • Assist in MPC tax filings
  • Sort and distribute mail
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities Work independently and within a team on special nonrecurring and ongoing projects
  • Answer telephones, direct calls, and take messages
  • Type, format, proofread, and edit correspondence and other documents using a computer
  • Other duties as assigned

Required Education/Experience
High School Diploma (or GED or High School Equivalence Certificate) and relevant work experience of 3 years in an office setting.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This position is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand, as necessary.
