Description
As an Administrative Sales Operations Representative, you will enhance the effectiveness, productivity, and business impact of the CTI sales team. The primary responsibility is to provide support to the sales team by relieving them of administrative work. Duties may include engagement letter processing/entry, revising/editing and submitting forms, record keeping, product training, or other related tasks. Create reports for the sales force regarding market conditions, sales results, and team earnings. This position requires an individual with an excellent attention to detail, technical aptitude, strong communication skills, and familiarity with (or willingness to learn) maintaining databases, marketing and sales automation.
Requirements
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
• Conserve sales team’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
• Maintain sales team’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, travel, and ensuring they meet deadlines
• Maintain customer confidence and protects operations by keeping information confidential
• Provide historical reference by developing, maintaining and utilizing filing & retrieval systems; recording meeting discussions
• Contribute to team effort by accomplishing related results as needed
• Provide administrative support
• Prepare Excel spreadsheets, PowerPoint presentations, and other reports
• Support all sales team needs and requests in a timely manner
• Data Management and Reporting – Measures and evaluates sales data to determine effectiveness of our sales process, campaign and events attended.
• Update, maintain and manage data fields in HubSpot (CRM) CTI’s proprietary database
• Maintaining existing sales reports and design new reports as needed. Participates in the evaluation, selection and implementation of data
• Cross-Functional Collaboration – Liaise with other departments, channelling information to the appropriate parties
• Sales Team Communications – Coordinates individual and overall team communications
• Forecasting and strategy – forecasts sales by studying and understanding past data and performance trends
• Performance Management – Manage sales representative compensation plans and incentives
KNOWLEDGE SKILLS AND EXPERIENCE
• Self-starter, self-motivated, and capable of creating opportunities
• Detail oriented with the ability to prioritize, plan, and organize activity
• Proficient in Microsoft Word, Excel, Salesforce, HubSpot, or other CRM solutions
• Strong written/verbal communication skills
• Willingness to change to meet organizational needs
• Challenges established norms and make hard, but correct decisions
• Adapts to stressful situations
• 1-2 years of administrative experience
• BA/BS Degree required
