The Administrative Assistant plays a crucial role in providing comprehensive administrative support services to the office.
This position involves a wide range of duties, including but not limited to answering telephone calls, managing incoming and outgoing mail, meeting coordination, onboarding support, word processing, establishing and organizing filing systems, overseeing document control systems, and offering general administrative support to the project team.
Additionally, the Administrative Assistant serves as a cultural ambassador, embodying the organization's values and fostering a positive and inclusive work environment.
By effectively managing administrative tasks and embodying the organization's values, the Administrative Assistant contributes to a positive and productive work environment, supporting the overall success of the team and the organization.
Responsibilities
- Maximize office productivity through proficient use of appropriate software applications.
- Coordinate travel and complete expense reports.
- Maintain contact with customers and outside vendors.
- Provides new hires with welcome package, tour of the facility, keys, and introduction to all team members.
- Maintains office equipment and ensures all products are in working order.
- Order and maintain supplies.
- Plan and organize Happy Hours, Team Building events, Summer and Holiday parties.
- Coordinate Lunch and Learns, Birthday / Anniversary lunches.
- Coordinate and arrange office meetings, prepare agendas, reserve, and prepare facilities.
- Provide support to IT Team.
- Provide support to Facilities Team.
- Assists Team Members with expense reports.
- Provide accounting support with monthly invoicing.
- Manage company credit card.
- Manage schedules, calendars, and appointments.
- Handle mail and shipping.
- Administer architectural and construction contracts.
Qualifications
- High School Diploma or equivalent is required.
- A minimum of two years’ of experience in a related position supporting team of professionals is required.
- Ability to work independently, self-starter, energetic.
- Ability to perform at high levels in a fast paced, ever-changing work environment.
- Must be able to shift gears easily and feel comfortable wearing multiple hats.
