This position is on-site M-F 8am-5pm.
POSITION SUMMARY:
The Client Services Specialist acts as the manager of the client experience and the administrative core of the law office. You are responsible for the day-to-day operations of the office, answering/screening/announcing all incoming calls, and anticipating and answering the needs of existing and new clients in person or on the phone. You will support marketing events, log and process all client files, payment, and paperwork for the firm, and provide administrative assistance for all team members. Must be friendly, upbeat, personable, and solution-oriented. We are a dynamic, quickly-changing environment in which multi-tasking is necessary. You will need to understand the firm’s goals, legal services, and processes, and use that knowledge to strategically support client and firm needs.
RESPONSIBILITIES:
* Collecting and managing client information in the CRM – HubSpot
* Making cold calls and/or calling clients
*Listen to client concerns and inquiries and respond empathetically and offer assistance.
*Provide exemplary service to clients in person, on the phone, and via email. Act as primary contact for the office—fielding calls and dispatching to appropriate team members, taking messages, responding to voicemail, greeting/checking in/guiding visitors
*Handle initial phone screen for prospective clients, gather information, explain our services, answer questions, and explain our firm’s procedures and processes
*Maintain and update firm calendar for attorneys and team members, schedule appointments, confirm upcoming meetings, prepare client files for meetings, and keep team members updated on schedule changes
*Update and keep firm database (Abacus) organized
*Keep firm documents and client files organized, including but not limited to:
*Preparation of forms in preparation for client meetings
*Creating and processing client documents and matters
*Process incoming and outgoing office mail; receive, scan, process, and distribute mail to team members
*Office maintenance, including but not limited to:
*Keeping inventory of office supplies
*Ordering non-customized office supplies, kitchen supplies, and client provisions
*Clearing and cleaning conference rooms and lobby at the beginning and end of the day as well as between meetings, stocking water and snacks, cleaning whiteboards, wiping tables
*End of day cleaning and lock-up
*Contacting office management for maintenance and technician service
*Marketing Event Preparation – manage responses to marketing events
*Receive and log registration for firm events
*Calendar management
*Admin duties related to support and assistance of all other team members
*All other projects as assigned
REQUIRED SKILLS:
Excellent telephone/meeting etiquette, excellent oral and written communication skills, professionalism, strong interpersonal skills, organization, planning, proofreading and grammatical skills, time management, computer savvy a must and type 45 WPM. You are a fit if you maintain an upbeat, friendly, and approachable attitude toward team members and clients. Ability to multi-task. Must have a valid CA Driver’s license and vehicle to drive from office to office to work on occasion.
EDUCATION/TRAINING:
High School graduate and at least four (4) years related work experience in a business setting or law firm required.
