What are the responsibilities and job description for the Bookkeeper position at Cure HHT?
Cure HHT is a non-profit organization that serves HHT patients and their family members, along with the medical and scientific community, worldwide. This part-time position (up to 32 hours per week) will maintain all financial records for donations, events, and government grants. Ideally, this position will work in our office in Monkton, MD but hybrid or remote work is an option.
The position works in collaboration with the Salesforce Administrator to reconcile gift entries; Director of Research Programs & Grants and Director of National HHT Coordinating Center to process government grant invoices, vouchers, and payments; and with Chief Operating Officer and outsourced accounting firm to provide monthly financials and monitor invoices in Bill.com.
Gift Processing
Collaborate with Salesforce Administrator and outsourced accounting firm to maintain proper tracking of all incoming financials (i.e., donations, pledges, store purchases, event registrations, peer-to-peer fundraisers, stock, employer giving programs, United Way, etc.)
- Weekly gift entry and reconciliation in Salesforce
- Deposit checks
- Review bank statement weekly for ACH and wire transfer deposits to be entered into Salesforce
- Review bank statement weekly for 3rd party platform deposits (i.e., Stripe, PayPal, authorize.net, Amex, etc.) to be entered into Salesforce
- Monitor and enter stock transfers (i.e., Fidelity, etc.) into Salesforce
- Enter data into Salesforce for all individuals and organizations, including address updates, demographics, and relationship links as needed for new donors or updates for existing households.
- Create acknowledgements / notification letters and labels for mailings of thank you letters and receipts for donations as appropriate.
- Notify Manager of Donor Relations Outreach & Community Engagement of gifts > $500.
- Memorial/Tribute Notifications - Research deceased constituents, make appropriate updates, and send notification letters to family member.
- Produce and distribute various reports pertaining to the gift entry process.
- Provide monthly gift reconciliation outsourced accounting firm by 15th of the month
- Ensure proper documentation is retained for auditing.
- Gather documentation required for auditors when requested.
Government Grants
- Maintain government grant voucher spreadsheets with invoices for monthly draws.
- Maintain government grant payroll details and general ledger reports for monthly draws,
- Maintain government grant statement of activities and budget analyses for ongoing reporting.
- Upload contractor, subcontractor, consultant, and subaward invoices to Bill.com with proper account codes and dimensions.
- Confirm grant funds received in proper bank account; notify Chief Operating Officer to initiate payment in Bill.com.
- Update monthly budget spreadsheets for each government grant
Miscellaneous
- Code, scan, and send documents (i.e., handwritten checks, payroll notices, etc.) to outsourced accounting firm as needed
- Bachelor’s degree
- Experience with Salesforce (or similar platform) and Microsoft Office Suite required
- Experience with Sage Intacct preferred
- Experience with government contracts and vendor invoice processing preferred
- Understanding of the basic principles of accounting
- Detail oriented and strong organizational skills

This is a part-time position which allows for flexibility in work schedule. It is preferred that the position report to work at the foundation office in Monkton, MD but hybrid or remote work is an option. Part-time employees are eligible to participate in the 403(b) plan once the eligibility requirements are met.
