Position Description
           
The Administrative Assistant will help leadership, stay focused, organized, and efficient allowing everyone to prioritize their workload. You will provide administrative support and assist viewers with company related needs. Proven experience as an administrative assistant, preferably in a technical or engineering environment, is preferred.
 
Education and Experience
 
  • Strong attention to detail and accuracy in all work, ensuring high-quality results.
  • Discretion and confidentiality when handling sensitive information and confidential data.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Ability to work independently with minimal supervision, as well as, collaboratively as part of a team.
  • Excellent written and verbal communication skills, with the ability to tailor communications depending on the audience.

Essential Duties and Responsibilities
 
  • Coordinate and manage schedules ensuring timely attendance at meetings, appointments, and project deadlines.
  • Serve as a primary point of contact for internal and external inquiries, handling phone calls, emails, and correspondence with professionalism and efficiency.
  • Assist in the preparation, organization, and maintenance of technical documents, reports, and project documentation with attention to detail and accuracy.
  • Track and reconcile expenses, including invoices, receipts, and purchase orders per company policies and procedures.
  • Schedule and coordinate team meetings, conference calls, and presentations, preparing agendas and materials as needed.
  • Provide administrative support for engineering projects by coordinating logistics, ordering equipment/supplies, and tracking project milestones.
  • Maintain databases, spreadsheets, and other records accurately, ensuring data integrity and confidentiality.
    Assist with general office tasks such as ordering supplies, coordinating equipment maintenance, and managing office inventory.
  • Support special projects and initiatives as assigned demonstrating flexibility and adaptability.
  • Must be able to sit for extended period of time and remain focused and productive throughout the workday.
