The Residency Coordinator will support the Program Director, the Program Faculty and the Residency Program Administrator.  The Residency Coordinator also performs higher level office support duties and provides specialized program support for the Family Medicine Residency Program.  The Residency Coordinator  performs a wide range of administrative assistant duties including conducting research, preparing statistical reports and spreadsheets, preparing correspondence, reports, handling information requests, planning conferences and meetings, providing purchasing and payroll support, fulfilling employment administration requirements, making travel arrangements, and maintaining calendars and schedules.

Responsibilities

  • Respond to and initiate inquiries (questions regarding purchasing, personnel, administration, specialized programs, etc.) Understand policies, answer questions, and independently resolve problems whenever feasible.
  • Take minutes during all residency related meetings.
  • Manage and maintain resident’s portfolios.
  • Schedule Resident rotations, coordinate offsite experiences.
  • Track Resident vacation/sick/personal leave.
  • Track conferences in New Innovations.
  • Assist in preparing presentation materials for use by others, editing content and adding appropriate graphic and design elements. These responsibilities may include creating basic web content.
  • Compose and/or prepare correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools. Perform basic statistical calculations on data for reports and presentations.
  • Plan, prioritize and schedule meetings and appointments for Directors, Faculty and the Program Administrator including minutes. Make decisions on a daily basis regarding calendars.
  • Perform specialized coordinator duties required to support the Residency Program, using discretion to make judgment based on operating guidelines. Support purchasing requirements for department, researching items and obtaining price as needed.
  • ACGME
    • Be knowledgeable and work with ACGME FM Program and Common Program requirements, and stay up to date with changes.
    • Assists with WebADS updates.
    • Maintains Residents files in compliance with ACGME for current and departed residents.
    • Coordinates all information required to certify residents for ABFM exams.
    • Gathers necessary information and assists with preparation for RC site visits.
    • Assists with gathering and preparing statistical information for the residency program.
    • Monitors Faculty and Resident Evaluation completion.
  • Assist with and compile/ help maintain information as directed for the ACGME, ERAS and NRMP requirements, including but not limited to:
    • Helping manage the ERAS (Electronic Residency Application System)
    • Assist with NRMP (National Residency Matching Program
    • Maintain WebADS system, including faculty and resident list updates and annual reports
    • Maintain and update all documents necessary for RRC site visits
    • Manage ABFM web-based reporting and documentation system
    • Assist with In-training exam
  • Assists with recruiting and on-boarding to include licensing, orientation, etc.
  • Assists with organizing Residency special events, projects, retreats, graduation and program related events.
  • Oversight of resident training license renewals.
  • Oversight of duty hour’s documentation.
  • Develops, manages and updates a timely, accurate, and seamless evaluation process.
  • Gathering, compiling, and updating data and records as directed.
  • Assists with ACGME Residency Program accreditation needs.
  • Arrange and coordinate travel and travel reimbursement for staff.
  • Perform other administrative assistant duties as required to support the mission and function of the Family Medicine Residency Program and Graduate Medical Education.
  • New Innovations
    • Manages and updates all aspects of our Residency Management System, including: - Personnel, Duty Hours, Evaluations, Conferences, Semiannual reviews.
  • Interview Season
    • Works with Administrator to coordinate Interview Season. - Assures ERAS registration is complete. - Monitors applications. - Performs Initial screening for minimal program requirements and assigns applicants to faculty for   review. - Coordinates Interview scheduling, including Interview Broker Management, hotel reservations, transportation, tours, hotel gift, interview dinners with residents and lunch
  • Coordinates Recruitment Activities.
  • The coordinator along with the administrator currently serves as GME coordinators, in the absence of an Institution GME Department.
  • Other duties as assigned.
  • Qualifications

  • High school diploma or equivalent required.
  • Associates Degree in Secretarial Science or Business Administration preferred.
  • 2 years of experience in an office or administrative support position required.
  • Experience with ACGME Institution and Family Medicine Program requirements, the ACGME WebADS and New Innovations programs and software preferred.
  • Experience in the use of personal computer required; proficiency in the use of all Microsoft Office programs including Work, Excel, PowerPoint and Access required.  Ability to conduct research on the Internet a must.
  • Must have excellent understanding of information technology with willingness to learn multiple software applications including EMR’s.
  • Analytical and organizational abilities, critical thinking skills, research abilities and independent-decision making will be required.  Must be a self-starter and possess a high degree of initiative.  Ability to multi-task at all times along with being adaptable and versatile.  Must possess discretion and good judgment.
  • Proficient in written and oral commutation skills (spelling, punctuation and grammar).
  • Excellent keyboarding skills; requires successful completion of a keyboarding test with 55 net/adjusted wpm.  Proficient in transcription using transcribing equipment.
  • Must be confidential, dependable and flexible.
  • Must possess a desire and willingness to work as a contributing and supportive member of the Administrative team.
