Job Summary:
Under direct supervision of the Director of Quality and Population Health, the position assists in coordination of overall Quality and Risk Management department activities. Responsible for assisting with evaluation, oversight and management of patient and staff safety activities, incident management, grievances as well as coordination and implementation of risk management training.

Essential Duties and Responsibilities:
Meets the organization’s customer services standards, including interpersonal communication and professional conduct expectations.
Oversees as administrator Policy Tech (policy management software)
Intakes and logs all incident reports and manages incident reporting database daily.
Provides internal customer support regarding incident management through Service Desk incident reporting or via telephone.
Coordinates and investigates all reported incidents, working closely with the Compliance Officer. Interviews staff and personnel involved in the incident. Work with directors, managers, and supervisors for communication of incident status if applicable.
Provides ongoing assistance to employees with incident reporting and grievances. Walks employees through completing incident reports and grievances.
Maintain an updated incident reporting system.
Responds and Tracks all Patient Complaints and Grievances
Maintains interdepartmental lines of communication.
Maintains all incoming requests for subpoenas or requests from attorneys’ offices. Delivered to legal, compliance or risk management departments, as needed. Returns subpoenas that are not related.
Coordinates all medical records requests from the courts, attorneys, and other institutions.
Provides assistance to quality, compliance, risk management and legal departments in preparing documentation for legal claims, investigations, subpoenas or other.
Maintains a tracking sheet for all sequestered records and all medical records requested by our office. Ensure that any sequestered records that leave our office are returned in a timely manner.
Assists in setting up all performance improvement activities across the organization.
Prepare risk and quality findings for CQI committee so that CQI can consider and enact clinical risk recommendations to address quality issues and mitigate further legal risk exposure.
Provides weekly data reports to departmental leadership.
Maintains departmental database(s) (education, certifications, and schedules).
Takes and transcribes, prepares, copies, and distributes meeting minutes as required.
Tracks department policies and procedures and keeps manuals updated.
Assists with special projects and interdepartmental needs when appropriate.
Date stamps and distribute all incoming mail. Prepares all letters and packages for outgoing mail.
Performs other duties as assigned.
Qualifications
Qualifications:
Minimum Qualifications (Education and Experience):
Bachelor's degree from an accredited college or university preferred.
High School Diploma or GED Equivalent required.
Minimum 2-3 years’ experience in the medical field required, preferred compliance or risk management experience.
Strong understanding of office procedures and protocol with an emphasis on good organizational skills and attention to detail.
Ability to prioritize multiple tasks.
Excellent customer service skills.
Good oral and written communication skills.
Proficiency with basic office equipment (calculator, computer, copier, fax).
Intermediate computer skills with an emphasis on MS Word, Excel, Access, PowerPoint, Outlook, and desktop publishing.
Knowledge, Skills and Abilities:
Computer competence, highly effective collaboration, written and verbal communications skills.
Ability to communicate well with families, patients, staff, and physicians based on age, cultural beliefs and educational level.
Able to facilitate conflict resolution, competent in identification of risk situations and resolution.
