DUTIES AND RESPONSABILITIES
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls to the appropriate departments
- Provide administrative support such as filing, and data entry for Admin and Financial manager (CFO)
and CEO
- Manage office supplies and maintain inventory
- Schedule appointments and maintain calendars as per request
- Handle customer inquiries thru general email and forward them to the relative department.
- Internal communications with employees. Attending to their requests, and needs.
- Control of employees’ vacations and PTOs
- Handle incoming and outgoing correspondence
- Assist with employee timekeeping
- Develop and implement onboarding programs for new employees
- Coordinate training programs for employees
- Post and follow up job offers
- Ensure smooth operation of office equipment, including phone systems and computers with IT
department.
- Maintain confidentiality of sensitive information
- Implement Employee Desk Policy
- Coordinate and drive employee’s Safety and health occurrences
- Keep records of:
o Employees
o Vehicles (inspections, insurances, and maintenance)
EXPERIENCE
- Previous experience in an administrative or receptionist role preferred
- Familiarity with other ERP software is a plus (Procore)
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to operate phone systems and handle multiple calls simultaneously
- Ability to handle employee requests and improve their experience
- Organized, detail-oriented, and have excellent communication skills
SKILLS
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Proficiency in using Google Workspace as advanced user experience
- Ability to prioritize tasks and manage time effectively

SALARY AND SCHEDULE
- From Monday to Friday 8.30am-5.00 pm
