Job Details:
Job Title: Executive Secretary
Location: Buffalo, New York
Duration: 3 Months
Days/Shift: Mon to Fri, Day shift
NOTE: Part time 20 hours per week (The request is for part-time but if needs change there may be opportunity for more time)
Minimum Qualification:
Associate's degree and the equivalent of two (2) years of full-time secretarial or related experience; or High School diploma or High School Equivalency diploma and the equivalent of three (3) years of full-time secretarial o related experience
Additionally the preferred candidate must be proficient with Workday.
Job Duties:
1)Performs administrative and clerical support within the Office of Research Subject Protection; assists in the daily administration function of the department and various review boards and committees; duties may vary based on needs of the group.
2)Sends invitations for IRB meetings and tracks attendance.
3)Prepares materials for meetings.
4)Works in Click-IRB electronic system for submission assignments and quality checks.
5)Functions as department timekeeper in Workday system. Coordinates and tracks researcher/research staff training and education with the CITI program.
6)Maintains adequate office supplies and processes invoices and expenses for payment in the Workday system.
7)Performs general office duties, i.e., copying, mail delivery, filing, phone calls, email and maintaining neat environment. Tracks shipping, i.e., FedEx.
8)Delivers and picks up mail from mailroom.
Preferred Qualifications:
1)The preferred candidate will possess a Bachelor's degree and the equivalent of one (1) year of full-time secretarial or related experience or an Associate's degree and the equivalent of two (2) years of full-time secretarial or related experience; and will have experience working in a healthcare or research environment.
2)The preferred candidate will also possess advanced computer skills with Microsoft Office programs and with electronic software systems and databases.
3)The preferred candidate will also be detailed-oriented, have the ability to work independently and within standard operating procedures, and have excellent communication, organizational, and time management skills.
4)The preferred candidate should be able to perform the above duties and responsibilities in a considerably complex and confidential environment requiring little or no supervision with broad latitude for utilizing judgment and initiative.
