Job Description
We are looking for a Payroll Clerk to perform a variety of payroll, tax, and accounting functions. Job responsibilities include processing employees’ paychecks by collecting their payroll data and verifying timesheets. Your duties will include verifying employees’ work hours and payments through the payroll system, issuing deductions, earnings, and other statements to employees, and updating payroll records regularly. Additionally, the Payroll Clerk will assist in establishing, maintaining, and updating unemployment insurance and withholding tax account information, and liaising with the various state entities directly.
Job Duties
- Maintaining payroll information by collating, calculating, verifying, and entering data
- Updating payroll records by entering any changes to employee information or benefits such as job title changes, exemptions, deductions, promotions, new employees, and terminations
- Verifying timesheets with managers
- Preparing reports that include summaries of earnings, tax deductions, leave, compassionate leave, and non-taxable wages
- Calculating payroll liabilities by determining employee taxes, including federal and state income and social security tax, and calculating employer’s payments for social security, unemployment, and worker’s compensation
- Posting, reviewing, and auditing payroll entries in accounting software
- Investigating and resolving payroll discrepancies and answering any employee payroll queries
- Issuing and mailing paychecks to employees when necessary
- Maintaining all payroll operations according to company policies and procedures
- Filing, updating, and liaising with various State entities to ensure compliance with unemployment and withholding tax reporting requirements and ensuring timeliness and accuracy with monthly and quarterly reporting
- Responding to State tax communications when necessary
- Establishing State unemployment insurance and withholding accounts for new markets
- Processing and issuing W-2 forms to employees
- Function in accordance with established standards, procedures, and all applicable laws
- Keep sensitive information confidential
- All other duties as assigned
Requirements & Skills
- High school degree or general education degree (GED) required
- Associate Degree or relevant certification preferred
- 1-3 years of accounting and payroll processing experience or an equivalent combination of education, training, and experience
- Familiarity with bookkeeping and basic accounting procedures
- Effective verbal and written communication skills
- Competency in MS Office (including Excel, Word, PowerPoint) and QuickBooks Online
- Knowledge of ADP Workforce Now preferred
- Ability to prioritize accuracy, attention to detail, and organization
