Insurance & Driver Compliance Coordinator

BASIC PURPOSE:

Compliance of company drivers and insurance.

ESSENTIAL FUNCTIONS: 

• Prepares Motor Vehicle Records for all US companies and run annual MVR’s on all drivers
• Maintains Driver Files on US drivers (New driver files and renewals on medical cards and driver’s license. Also any changes in driver’s status
• Maintain all drivers on fleet telematics systems
• Maintain driver license monitoring website and database
• Manage Prescription Safety Eye Glass plan and website
• Manage safety boot program with Red Wing
• Submit Previous Employment Investigation forms for CDL drivers
• Check requests – misc. check requests need for payment
• Safety Incentive gifts (ordering and distributing to all employees)
• Maintain the Safety & Risk Management Intranet page
• Maintain the SDS & Labels for chemicals on the intranet page
• Coordinate monthly safety meetings
• Manage Pre-Qual Sites with insurance information and miscellaneous info (example – Kinder Morgan safety requirements for our employees)
• AMBU Subcontractors Agreements – have Joe Ferguson sign, make sure insurance certificates are valid, Update Times and keep files on open agreements (electronic and original agreements)
• Safety Manual Updates – make sure all offices have manuals for employees if needed
• Erail – make sure monthly invoice is paid. Assist any new employees in getting enrolled.
• Assist Safety Managers for any information needed from home office.
• INSURANCE -
  • Request & Issue new certificates or revisions for US and Canada
  • Auto ID cards – renewal and upon request thru out the year
  • Additional coverage for customer contracts – Railroad Protective Liability and Owners & Contractors Protective liability
  • I am the contact person for our broker
  • Property insurance for all DBi locations
  • At yearly renewal time coordinate ensure broker has all the updated info needed (drivers, locations etc.) Coordinate any necessary changes to the insurance certificates before renewals.   When insurance certificates are complete for the New Year I make sure that all office managers have the new certificates.
  • Handle all insurance correspondence to and from Broker and when any documents need to be reviewed or signed I go to DBi Counsel.
