ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support to management and unit staff.
- Type error-free QA reports, Corrective Action Plans, Immediate Danger Reports, Sanctions, and correspondence, and file material as needed.
- Maintain a variety of ticklers and listings as required.
- Responsible for gathering data to compile CAP monthly report for the Program Managers. Maintain a tickler system to ensure that CAPSs receive the necessary follow-up and closure.
- As directed, assist Program Manager – Quality Assurance Program with staff reminders.
- Maintain inventory of program’s equipment.
- Track and coordinate non-mobile rates for day programs.
- Coordinate duty day assignments.
- Setup schedule visits for new facilities in SANDIS and make CPL assignments.
- Track and respond to Out-of-Area Requests.
- Revise and assign to the appropriate case management unit the 513 unannounced visit list.
- In preparation for Placement Discussion, compile the calendar and the Placement Referrals.
- Make travel, meeting, and other arrangements for staff.
- Prepare reports, memos, spreadsheets, and documents.
- Maintains supplies inventory; placing and expediting orders for supplies; verifying receipt of supplies.
- Promptly and courteously answer incoming calls and direct to appropriate staff as necessary.
- Excellent customer service to all departments, vendors, and staff.
- Sort incoming mail, faxes, and courier deliveries for distribution.
- Prepare and send outgoing faxes, mail, and courier parcels.
- Code and file material according to the established procedures.
- Update and ensure the accuracy of the organization's databases.
- Back-up electronic files.
- Coordinate the maintenance of office equipment.
- Acts as a liaison with other departments.
- Complete all SIR functions, including Review, Email, Input, Copy, Fax, etc.
- Other duties as assigned.
MINIMUM POSITION REQUIREMENTS:
- High school diploma or equivalent.
- 1 year of related office experience.
- Ability to operate office equipment and use Microsoft Office.
- Ability to work cooperatively and effectively with others.
- Ability to spell and punctuate correctly, use good English, and make simple arithmetical computations.
- Extensive software skills, Internet research abilities and strong communication skills are required.
- Full use of an automobile, possession of a valid driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation. Must have and maintain a safe driving record.
- Bilingual preferred.
