Defend, Inc. is seeking an organized self-starter to provide administrative support in an energetic office environment.
Responsibilities:
· Managing scheduling for company executives.
· Maintaining and distributing organized meeting notes.
· Coordinating with external vendors for various projects, trips, and events.
· Organizing project deliverables and deadlines for the executive team.
· Preparing various reports and spreadsheets as needed.
· Assisting in the preparation of customer paperwork, including order forms and invoices.
· Maintaining accurate and organized employee and business paperwork in accordance with company policy and legal requirements.
· Tracking employee benefits including product allowances, store discounts, and time off.
· Leading employee recruitment and onboarding operations, including preparing job descriptions and placing online ads.
Required skills:
· Microsoft Office Suite.
· Google Workspace.
· Attention to detail.
· Demonstrated ability to learn new tasks and processes quickly.
· Excellent written and verbal communication skills.
· High level of organization.
· Research and problem-solving.
Preferred skills:
· Familiarity with Hawaii’s culture and languages, including Hawaiian Pidgin and ‘Olelo Hawai’i.
· Proficiency in Adobe Photoshop and Illustrator.
