JOB QUALIFICATIONS:
· A college degree or the equivalent in work experience relative to the purposes of the agency
· A self-starter and dependable
· A heightened sense of tact, diplomacy, discretion, loyalty and confidentiality in working with the Executive Director, the agency’s Board of Directors and volunteers, agency employees and client/Center participants
· The ability to respectfully adapt to changes and accept new responsibilities
· A respectful and compassionate attitude and sense of humor even under pressure
· Math and computer skills commensurate to the position
· QuickBooks experience is required
· Experience in payroll, Accounts Payable, Accounts Receivable and Excel
· The ability to understand and analyze government and other regulations applicable to agency business.
· Experience working in non-profit organizations.
· Positive attitude and strong work ethic.
BOOKKEEPING RESPONSIBILITIES:
· Payroll preparation and payroll/tax records, working with accountant and accounting office staff
· Prepare and submit monthly, quarterly and annual business reports
· Prepare appropriate reports/documentation for audits (annual agency-wide, State Board of Accounts), compliance reviews and reports (ex. INDOT #5311 and #5310, AIHS, etc.)
· Filing annual entity reports (State Board of Accounts/Secretary of State)
· Insurance and Workers Compensation insurance audits, Workers Comp policies
· Banking: deposits, transfers, etc., balancing statements for all accounts
· Accounts Payable/Accounts Receivable
· Ledgers: monthly expense and receipt breakdown based on program cost allocations, 10-page
· W-4’s, W-9’s, 1099’s, Sub-Contractor’s Certificates of Insurance/Worker’s Compensation
· Bill state for Indiana Medicare Savings Program applications taken by SHIP
· Investments with Executive Director
· Monthly Profit & Loss report to Board Treasurer
· Financial information for grants
· Petty Cash and agency credit card reconciliations
· Assist as needed with events: Bazaar, Bash, Rummage Sale, Expo, Health Fair, etc.
SECONDARY RESPONSIBILITIES:
· Assisting in answering agency phone lines in the absence of a receptionist.
· Keeping informed (daily Monday through Friday) on agency and Center activities and assisting with the set ups & tear downs;
· Assist as needed with events: Bazaar, Bash, Rummage Sale, Expo, Health Fair, etc.
· Assisting the Executive Director in the development of new programming and services;
· Other miscellaneous duties as assigned by the Executive Director.
Being a backup for the Executive Director regarding presentations as an agency spokesperson
Job Type: Full-time
Pay: $42,611.00 - $46,242.00 per year
