Overview
The Meetings & Events Coordinator will be responsible for the planning and execution of assigned events and for all aspects of tasks that relate to successful outcomes of events. The person will also support Meetings & Events (M&E) as well as Learning & Development through specific tasks as identified below or otherwise called upon.
Responsibilities
Plan and execute assigned events for both internal staff and external customer meetings Negotiate contracts with hotels and vendors Determine needed function space and audiovisual equipment Decide on appropriate menus for events with consideration to both attendee satisfaction and cost Review and assess if the quality of printed materials for events is acceptable Monitor and decide if tasks, workflow and deadlines for major and national events are at risk and alerts appropriate conference managers Create and build web based attendee registration sites that meet company quality standards Create and build native registration Apps to support small to large events that meets company quality standards Track and determine when working documents for Events need updating. Decide on new documents needed, its content and any revisions to existing documents Tabulate, maintain and run reports related to evaluation of Events, Expenses and ROI Review and approve monthly financial billing statements Maintain bio for all Oticon staff Generate LMS reporting Provide CEU support when called upon Provide support for other M&E team members when they are out of the office (PTO) Timely replies to customer inquiries Administrative tasks as requested
Qualifications
This position requires an Associate’s Degree or equivalent from a two-year college or technical school; minimum of a one-year related experience and/or training; or equivalent combination of education and experience. Preference will be given to candidates with experience in event planning and execution. Additional requirements include excellent telephone communication skills, organizational skills, accuracy and the ability to focus on tasks. The individual must be a self-starter with the ability to make decisions within the scope of responsibilities. Must possess experience and regular use of Windows, including Office (Excel, Word, PowerPoint, etc.) basic graphics and Internet applications. Occasional travel will be required
