The role:
Join our team as the fiscal process specialist, where you will support the Transportation Safety Office by monitoring federal and state fund accounts, tracking grant expenditures and reconciling payments. Support our mission in planning and implementing Oregon’s Highway Safety Plan with our goal of improving the safety of all roadway users and all modes of travel in Oregon through partner collaboration.

A day in the life:
-
Prepare invoices for payment processing by coding to appropriate expenditure accounts.
-
Review and process invoices and grant claims.
-
Enter invoice payments into Teams and OregonBuys.
-
Manage a reporting system to track and record goods, services, consultant and grant project expenditures.
-
Evaluate and analyze expenditures for compliance with federal and/or state laws, division policies and procedures.
-
Assist with entry and validation of information through the National Highway Traffic Safety Administrative Grants Tracking System.

Assist with preparing data for federal grant closeout reports at the end of fiscal years.

Work in a standard office environment with hybrid work options available up to 2 days per week following probation.

Minimum qualifications:
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An equivalent combination of education and experience.

The salary range for this position will be truncated as of April 1, 2024, which will impact the minimum salary for this classification. The new monthly salary range on April 1, 2024 will be $3,948-$5,483.
