We are looking to hire a Dermatology Office Manager to join our team! You will be responsible for overseeing the medical, operational , and administrative activities of the organization.

As our Office Manager, you will work closely with the owner/physician and all other staff. You are expected to provide strong leadership for supervision of staff and vendors, marketing, as well as developing successful relationships with all referral sources, expanding business, administration of practice business operations, financial tracking and management, and active implementation of strategic practice initiatives. You will be relied on your business, marketing, finance, and operations management experience and expertise to proactively advise the management group (Owner Physician) on practice management issues, and to explore future strategic opportunities. Furthermore, you will be relied on as a healthcare subject matter expert, who has a knack for turning complexity into readable simplicity. You bring significant experience to the role, and your background brings credibility to both internal and external audiences. Your healthcare subject matter expertise will be translated into a growing marketing segment of our company that leads to a huge growth and expansion of our business.

Responsibilities:

  • Maintains organized office operations and procedures: preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
  • Conducts marketing with clients including: Medical Offices, Patients in the local community as well as on internet platforms, targeting an increase in Patient Referral of Medical, Surgical, Cosmetic patients, and also an increase in the number and reimbursement rates for the Insurance Company contracts .
  • Keeps open lines of communication by leading weekly staff meetings/calls and participating in weekly management calls.
  • Achieves financial objectives by preparing an annual budget; preparing monthly financial benchmark reports, scheduling expenditures; analyzing variances; initiating corrective actions.
  • Responsible for overall patient experience by providing training to staff on customer service, bedside and telephone etiquette and striving for continuous improvement.
  • Maintains office efficiency by planning and implementing office systems, including Medical Record System, Billing and Billing tracking System, Patient reminding software, special offers to patients, etc., layouts, and equipment procurement.
  • Oversees scheduling of clinical and front desk staff to ensure optimal staffing and minimal overtime expense.
  • Maintains office support staff by recruiting, selecting, orienting, and training employees.
  • Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Builds a strong team environment with consistent communication, clear expectations, responsiveness, and ongoing practice improvement.
  • Builds the Business to evolve to a multi-location Practice of success, with the Professional Mission of providing high quality Patient-centered, and financially accomplished business.

Qualifications:

  • Previous experience in medical, operational, marketing and administrative services in dermatology related fields
  • Ability to prioritize and multi-task
  • Strong organizational skills
  • Deadline and detail-oriented
  • Strong leadership qualities

Job Type: Full-time

Pay: $65,000.00 - $90,000.00 per year

Schedule:

  • Monday to Friday

Education:

  • High school or equivalent (Required)

Experience:

Willingness to travel:

  • 50% (Required)
