ABOUT THE JOB :

This recruitment will be used to fill one full-time position and one on-call position. These will be front-line positions, designed to help support the Veterans’ Services office by performing a variety of standardized duties associated with general office assistance.

The Administrative Support Technicians will possess a strong desire to be of service to Veterans with direct upbeat customer support and empathy with an ability to defuse elevated situations.

Additional hours are required for community outreach events, including being available to perform work functions over the weekend.

This is a position of trust with HIPAA and confidentiality requirements.

This position is looking to hire a full time and on-call. The on-call position, will work every Friday, additional scheduling will be dependent upon Dept.

Key Responsibilities :

  • Filing.
  • in person reception, answering a multi-line telephone.
  • Making appointments for Veterans to meet with Veteran Service Officers (VSO).
  • Documenting / preparing deposits and processing mail.
  • Identifying legal documents.
  • Receiving / maintaining records.
  • Supporting the VSOs in their daily work.

What You Will Bring :

Knowledge of or experience with :

  • Handling of information that is of a confidential and sensitive nature.
  • Composing routine correspondence and spreadsheets.
  • Entering data into an electronic database system.
  • Principles and practices of file management, administrative support, accounting / bookkeeping, record keeping, case management, and records management.
  • Techniques for dealing with the public, in person and over the telephone.
  • Business and personal computers, and specialized software applications such as Microsoft Suite and its products.
  • Schedule and appointment management for multiple employees.

Skill in :

  • Demonstrating courteous behavior when interacting with visitors and County staff.
  • Promoting County goals and priorities, and comply with all policies and procedures.
  • Performing a variety of clerical functions to support department operations.
  • Entering data and numerical information into a computer system with speed and high level of accuracy, as well as maintaining electronic records, files, and databases.
  • Interpreting a variety of technical instructions and program requirements.
  • Reviewing documents for accuracy, completeness, and compliance with requirements.
  • Understanding and explaining rules, regulations, codes, laws, and ordinances.
  • Establishing and maintaining supportive, cooperative working relationships with co-workers.
  • Communicating effectively verbally and in writing.

Compensation

On Call : $22.0566 to $29.5582 per hour. There are no County benefits with this position as On Call. This position is available immediately.

Full Time : $3,808.51 to $5,103.81 per month for a 172.67 hour work month. Excellent County benefit package when eligible.

This union-represented position is available immediately.

BENEFITS :

Minimum Qualifications

  • High school diploma or GED equivalent;
  • AND two (2) years of administrative support experience;
  • OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.

Necessary Special Requirements

Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE : Positive test results for marijuana use may result in rescission of a contingent offer of employment).

This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.

Must have the ability to travel to off-site meetings and / or trainings. Annual training on site and at conferences of varying locations is required.

Computer literacy, strong typing and computer skills are required; as well as eager attitude to positively interact with the public.

Physical Requirements : Must have the ability to work in an office that is environmentally controlled; possess sufficient hand coordination to perform keyboarding and data entry;
