Schedule

Regular Full-Time Position
Must be available Monday through Friday from 8:00 am to 4:30 pm. Flexible to stay late or start earlier as needed. Flexible to work Saturdays as needed.
Must be flexible with schedule changes to meet operational needs.

Job Summary

1. Responsible for a variety of duties in receiving and processing of supply request orders, receiving materials/supplies/equipment, performing inventory, maintaining stockroom, and delivering materials/supplies to various departments.

Duties and Responsibilities

1. Listed below are the major duties and responsibilities of this position. Essential job functions are identified with an *.

2. Processing Client Supplies. (40%) *

  • Assists clients with determining appropriate supply needs. Reviews client's ordering patterns/needs and determine whether or not to fill the order as requested.
  • Informs Marketing department of usual client ordering habits.
  • Processes client supply order forms.
  • Documents and reviews inbound client order forms.
  • Retrieves and properly packages requested supplies from storage rack.
  • Notates items packed on client’s order form.
  • Labels packages/boxes and indicates the date/time/initial when completed.
  • Enters client orders into Finance Supply Chain Management (FSCM) system to ensure that the requested quantities will be deducted from the perpetual inventory.
  • Matches client orders and FSCM’s delivery receipts.

3. Receives materials, supplies and equipment. (30%) *

  • Accepts and rejects inbound deliveries from vendors and third party shippers as appropriate.
  • Follows receiving processes and procedures to ensure proper receipt of inbounds. Properly documents delivery to departments and temperature storage for department deliveries.

Enters receiving data into materials management system.
Adjusts receiving data when necessary.

  • Notifies buyer of shipping errors.
  • Properly disposes of damaged/defective goods.
  • Handles hazardous items following all applicable policies and procedures.
  • Documents reagent information into warehouse logs.Enter lots/expirations dates by shipment.

Document issue dates for new lots.

  • Process quality control for micro media.

4. Ships materials, supplies and equipment. (10%) *

  • Determines the best packaging options for outbound shipments based on following: Fragile, liquid, temperature sensitive items.

Dry ice limitations per IATA requirements.
Alcohol based solution per IATA requirements.
Non-shippable items which may include formalin, flammable, and caustic chemicals.
Proper weight limits.

  • Determines carrier and priority type for shipments.
  • Reviews department’s shipping form for specific instructions.
  • Prepares packages/boxes and documents into log sheet to generate postage.
  • Delivers outbound shipments to designated pickup location to meet carrier timetables.

5. Delivers materials, supplies and equipment to all departments at Halawa, with attention to temperature and/or time-sensitive materials. (10%) *

  • Properly notifies end users of frozen/refrigerated items and proficiency studies and obtains signature for College of Pathologists (CAP) items.
  • Adjusts delivery notification tags where appropriate for departments.

6. Maintains the stockroom and equipment. (10%) *

  • Ensures proper inventory levels are maintained.
  • Assembles test kits as needed.
  • Identifies and notifies management of low stock levels. Performs periodic physical inventory to validate on hand quantity to system stated quantity. Participates in annual year-end inventory.
  • Communicates with department when any equipment (i.e., malfunction).

7. Performs other duties as required.

  • Observes all safety and health regulations and works in accordance with DLS safety policies and procedures. Reports unsafe actions/conditions and injuries to supervisor promptly.
  • Identifies and analyzes problems; makes decisions and takes appropriate action(s).
  • Assists internal and external customers with questions, concerns, problems, etc.
  • Maintains a positive work climate and effective working relationships with internal and external customers.
  • Maintains attendance as scheduled/assigned, consistent with DLS policies and procedures.
  • Attends and/or participates in activities such as, but not limited to, meetings, required in-service programs, continuing education, and competency assessments.
  • Models the behaviors consistent with the mission, vision and shared values of the organization.
  • Maintains confidentiality of information in accordance with company policies and procedures.

  • Ability to communicate effectively in English, both in verbal and written form.

  • Requires regular participation in meetings with peers and management.
  • Requires occasional contact through letters and memos to peers, management, and vendors.

Typical Physical Demands:

  • Continuous: standing, walking, forward reaching, grasping, handling, fingering, seeing, hearing, and speaking.
  • Frequent to continuous: bending, squatting, stooping.
  • Frequent: crouching, twisting, overhead reaching, pushing and pulling up to 250 pounds with assistance, lifting and stacking up to 55 pounds (floor to waist), carrying up to 45 pounds.
  • Occasional: sitting, stair climbing, kneeling, side bending, lifting - 75 pounds with assistance (floor to knuckle, knuckle to shoulder, lifting 35 pounds (shoulder to overhead), carrying 75 pounds with assistance.
  • Machines, tools, and work aids: pallet jack/lift, hand truck, wagons, carts, bow cutter, step ladders, computer and MMIS system.

Typical Working Conditions:

  • Work environment includes conditions common to a laboratory, including working around or indirectly with bio-hazardous materials, and potentially hazardous chemicals.
  • Generally works an indoor, well lighted air-conditioned office/laboratory setting with adequate ventilation.
  • Occasionally performs work in a walk-in refrigerator for up to 15 minutes at a time.
  • Occasionally performs work outdoors.

Qualifications

Education:

Required:

  • High school diploma or equivalent.

Experience:

Required:

  • One (1) year of work experience providing customer service.

Preferred:

  • Experience in inventory practices and systems.
  • Experience in healthcare, Information Systems, Information Technology, or related field.

Skills:

Required:

  • Ability to communicate effectively in English both in verbal and written form.
  • Ability to work effectively both independently and with a team.
  • Excellent customer service skills.
  • Skill in organizing and maintaining accurate records and attention to detail.

Preferred:

  • Working knowledge of personal computers and business related software, such as Windows, Word and Excel.
