We have a great opportunity for a Practice Administrator to join our team and contribute to our mission of making a positive impact on the lives of our clients overcoming substance use disorder. As a Practice Administrator, you'll lead a very talented and diverse medical team comprising mid-level providers, RNs, MAs, Pharmacy and LPNs. Collaborating across various functions like dental, counseling, transportation, and administration, you'll play a crucial role in ensuring seamless clinic operations and high-quality patient care.

In this role, you'll have the opportunity to foster dynamic collaboration among the staff you lead, while also taking on responsibilities for clinic operations, compliance, and problem solving any clinic-related issues- staffing, office space, processes. Reporting directly to our Chief Medical Officer and partnering closely with our CMO and other department leaders, you'll be instrumental in driving the success of our organization.

What You’ll Do:

  • Provide supervision, mentoring, training, and development opportunities to all medical and dental staff, including regular performance check-ins and feedback.
  • Conduct regular staff meetings for all clinical and administrative personnel to discuss matters pertaining to treatment issues, policies and procedures, case management, and staff relations.
  • Assist in planning for the development of new clinical programs, creation and implementation of policies and processes for personnel, department, treatment services, and records.
  • Direct and administratively oversee patient care within our defined clinical practice scope, ensuring smooth and efficient clinical operations.
  • Support the CMO in completing medical record reviews for all Medical Clinic prescribing providers, focusing on quality of care and appropriate coding. Additionally, support dental record reviews for all Dental Clinic staff also focusing on quality of care and appropriate coding.
  • Comply with all provisions from Drug Enforcement Administration including monthly monitoring and yearly reviews.
  • Develop and manage all budget related activities for the medical and dental departments.
  • Monitor organization-wide performance improvement activities as a member of the clinic medical and dental teams and participate in staff meetings and/or consultations as requested.
  • Assist with implementation of electronic health records, review new software and hardware products, and develop training schedules for staff.
  • Work closely with Clinic and Organizational leadership to develop and implement quality improvement.
  • Maintains regulatory compliance within the clinic.
  • Works collaboratively with leadership team to strengthen and develop operational framework.

Must Have’s*:

  • 5 years of leading a team of medical professionals in primary care or as an office administrator. Experience with a multi-disciplinary group a plus!
  • Experience managing daily clinical operations.
  • Master's Degree in Clinical Systems Management, Healthcare Management, or MBA
  • Experience working in a substance abuse treatment facility and or familiarity with Medication Assisted Treatment (Methadone, Buprenorphine, Naltrexone) preferred
  • Ability to prioritize work, while remaining flexible and ready to assume additional responsibilities
  • Excellent leadership ability- ability to build trust, foster collaboration and consensus, develop staff, while meeting the needs of the organization and our mission.
  • Attention to detail and ability to balance competing priorities while remaining flexible and ready to assume additional responsibilities.
  • Ability to work in a cross-culture environment
  • Ability to adhere to state (RCW, WAC) and federal confidentiality regulations (42 CFR part 2).
  • Effective communication; written, verbal, and interpersonal skills, including conflict resolution.
  • Basic computer and software experience using MS Office products.
  • Understands and has the ability to adhere to state (RCW, WAC) and federal confidentiality regulations (42 CFR part 2).
  • Possess a valid Washington State Driver’s license and meet eligibility requirements for tribal insurance.
  • Ability to pass extensive criminal background check and pre-employment drug screening.
  • Tribal affiliation a plus!
